Position: Fleet Coordinator

Overview: The Fleet Coordinator collaborates closely with the Branch Manager to oversee the fleet operations at their designated location. Key responsibilities include maintaining an organized inventory of all vehicles in the fleet to ensure operational readiness, managing vehicle check-ins and check-outs with clients, and preparing necessary documentation for prompt invoicing.

Key Responsibilities:
  • Authorize and oversee vehicle repairs with service providers.
  • Establish and implement protocols to optimize fleet operations and usage.
  • Monitor maintenance schedules to ensure timely completion for all rental vehicles.
  • Build and sustain strong relationships with clients and service vendors.
  • Prepare and submit necessary documentation to the accounting department for timely billing.
  • Ensure clients are billed for any additional charges such as excess mileage, fuel costs, cleaning fees, damages, and delivery expenses.
  • Maintain fleet readiness through daily communication with both internal and external service teams.
  • Regularly update tracking spreadsheets, sales lists, and detailed vehicle calendars.
  • Participate in company meetings as required.
  • Contribute to team objectives by achieving related results as necessary.
  • Perform additional duties as assigned.

Qualifications:
High school diploma or equivalent required.
