We are currently seeking an Immigration Administrative Assistant to become a vital part of our dynamic business immigration team in our Raleigh office. The selected candidate will undertake a range of responsibilities to ensure the efficient management of immigration cases from initiation to resolution, adhering to our established policies, procedures, and quality benchmarks.

Key Responsibilities:
Successful candidates will be expected to perform the following tasks:

Mail Management:
• Receive, stamp, sort, and distribute incoming mail.
• Digitally archive all immigration receipts, approvals, rejections, and certificates.
• Ensure all office machines, including printers and copiers, are stocked with paper daily.
• Replace toner cartridges in printers and copiers as necessary.
• Monitor unclaimed print jobs to maintain confidentiality and deliver them to the correct individual.
• Receive and log packages and vendor deliveries.
• Maintain an inventory of mailroom supplies.
• Oversee kitchen supplies and cleanliness.
• Assist the Support Services Coordinator with the relocation of office equipment as required.
• Perform additional duties as assigned.

Packaging Duties:
• Scan tracking labels and prepare review sheets for case managers for outgoing cases.
• Input tracking labels and review sheets into our case management system.
• Generate labels for packages destined for major USCIS locations.
• Print petitions and attach the appropriate checks for attorney review prior to packaging.
• Prepare photographs for inclusion in petitions.
• Verify that all forms are properly signed.
• Package petitions appropriately and ensure timely dispatch to USCIS.
• Log all review sheets into an Excel spreadsheet.
• Prepare approval packages for foreign nationals as necessary.
• Undertake other miscellaneous tasks as required.

Qualifications:
• Minimum of 1 year of experience in a high-volume office setting.
• High school diploma is required; some college education is preferred.
• Proficient typing skills of 45+ words per minute.
• Strong command of grammar, spelling, and punctuation.
• Exceptional organizational skills with the ability to manage multiple projects and tasks effectively.
• Keen attention to detail and excellent time management abilities.
• Capacity to perform well under pressure while maintaining a professional demeanor.
• Strong client service orientation is essential in this team-focused environment.
• Enjoyment of working in a fast-paced, collaborative setting.
• Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).

Occasional standing, stooping, or kneeling may be required. Specific vision abilities necessary for this position include close vision and the ability to adjust focus.
