Job Summary:

The Recruiting Coordinator will play a crucial role in supporting the Talent Acquisition, Workforce Programs, and HR Operations teams by providing overall administrative support. This includes, but is not limited to:

Interview and event scheduling and coordination, candidate, vendor, and hiring manager communication, invoice and contract processing, on-boarding support for new hires and hiring managers, and supporting the creation and editing of PowerPoints and reports.

Key Responsibilities:

Scheduling and Coordination:
Coordinate and schedule interviews between candidates, hiring managers, and/or vendors. Accurately communicate interview details to candidates and ensure they have all necessary information. Manage interview calendars and resolve any scheduling conflicts. Register for events and prepare any required materials. Submit pre-employment screenings and prepare interview materials, including video interview setup.

Invoice Processing:
Review and process HR-related invoices and expense reports. Ensure timely and accurate payment of invoices. Maintain records of all processed invoices. Provide support with timesheet tracking for vendors.

Operations Administrative Tasks:

  • Assist with onboarding new employees, including preparing new hire paperwork and communications.
Assist in the preparation of reports and presentations. Additional administrative tasks, as needed.

Qualifications:
Bachelor's degree in Human Resources, Business Administration, or a related field preferred. Proven experience in scheduling and coordinating multiple events/meetings. HR Coordinator or Talent Acquisition Coordinator experience preferred. Demonstrated proficiency in Outlook, Excel, and PowerPoint required. Strong organizational skills with accuracy. Demonstrated ability to communicate effectively. Knowledge or experience in Workday or other HRIS preferred. Ability to handle sensitive and confidential information with discretion. Detail-oriented and able to provide support to multiple teams.
