Office and Marketing Coordinator, Missouri River Country Inc.

Position Overview:

The Office and Marketing Coordinator will assist the Executive Director and Marketing Personnel in the administration and promotion of Missouri River Country, the regional tourism office serving the northeastern counties in Montana.

This position encompasses a blend of administrative, managerial, and marketing responsibilities focused on enhancing the region's appeal as a top tourist destination.

The role reports directly to the Executive Director and the Board of Directors.

Compensation and Work Hours:

Hourly Rate:
$20 per hour

Work Week: 25 hours

Probationary Period: 90 days

Primary Duties and Responsibilities:

Administrative and Office Management:
Serve as the first point of contact in the office: welcome visitors, respond to inquiries, handle phone calls, and manage correspondence.
Process information requests via phone, mail, or in-person by distributing marketing materials.
Maintain an inventory of informational resources and update supplies as necessary.
Track information requests and provide the Board with a monthly summary of inquiries.
Disseminate minutes from board and committee meetings; may be required to record minutes.
Organize all correspondence, minutes, and monthly reports.
Notify board members of meetings and any changes to schedules.
Participate in various meetings and community events beneficial to the organization.
Maintain records of board membership and accounts receivable.
Oversee the photo library and photo release files; capture photos as needed.
Compile and submit state-required compliance reports by deadlines.
Assist committees in coordinating reports and recommendations.

Act as a liaison for members, directors, clients, advertising agencies, and visitors.

Educate on tourism and recreation, and coordinate public relations efforts with community organizations.
Monitor all marketing initiatives for adherence to guidelines and accounting procedures.
Familiarize with regional marketing guidelines and assist in ensuring project compliance.
Perform bookkeeping tasks including maintaining the check register, reconciling bank statements, and preparing checks for signature.
Provide updated budget reports during monthly board meetings.
Assist with publication projects, prepare bids for printing, and support committees in planning and evaluating these projects.
Attend training sessions for social media and internet marketing as provided.
Execute additional duties as assigned by the Executive Committee or Board of Directors.

Marketing and Promotion:
Promote the organization as a premier tourist destination.
Plan and host familiarization trips for qualified journalists.
Attend and represent the organization at trade and travel shows.
Prepare and deliver tourism marketing presentations.
Draft press releases and e-newsletters.
Develop the Annual Marketing Plan and assess project outcomes.
Capture photos and maintain a photo library.
Provide recommendations based on advertising inquiries and previous placements.
Collaborate with the agency of record to create, approve, and supply photos and information for various media placements.
Manage social media content, posting regularly on various platforms.
Assist with website updates and compile event calendars for both digital and print formats.
Work with public relations and advertising agencies to address current PR needs.
Distribute printed brochures and engage with communities on marketing strategies.
Assist with Co-op Marketing applications and discuss marketing options with local businesses and communities.
Provide updated regional information on marketing and events to relevant tourism offices.

Skills and Qualifications:
Basic computer skills, including proficiency in Word, Excel, and the Internet.
Knowledge of QuickBooks is advantageous.
Strong organizational and multitasking skills.
Excellent communication and public relations abilities.
Dependable and reliable.
Experience in marketing, public relations, or a related field is preferred.
Marketing and office skills are beneficial, but training is available for the right candidate.

Accountability:

The Office and Marketing Coordinator is accountable to the Executive Director and the Board of Directors and does not hold a voting position on the board.


This multifaceted role provides an opportunity to support the leadership and promotion of Missouri River Country while ensuring effective office management and marketing execution.

The probationary period will allow both the employee and the Board to assess the suitability for the position, with the potential for full-time employment in the future.
