About the Role

Community Options is seeking a highly skilled and detail-oriented Intake Coordinator to join our team. As a key member of our admissions team, you will be responsible for coordinating and facilitating the intake process for new clients, ensuring a smooth and efficient experience for all parties involved.

Key Responsibilities
  • Admission Processing: Collect and upload all necessary admission documentation, including SSA award letters, birth certificates, Medicaid cards, and IDs.
  • Service Authorization: Ensure service authorizations in Therap are created and maintained to avoid loss of services and payments.
  • Pre-Placement Meetings: Attend pre-placement meetings for all new admissions to ensure all necessary documents are collected prior to admission.
  • Client Enrollment: Enroll and admit all individuals into Therap.
  • Client Data Management: Ensure new residents and amendments to services are updated and/or entered in Therap.
  • Collaboration: Work collaboratively with the billing department and regional offices for troubleshooting issues impacting billing and cash flow.
  • Other Duties: Perform other duties as assigned by the Intake Supervisor.
Requirements
  • Excellent Communication Skills: Possess excellent verbal, written, and interpersonal communication skills.
  • Knowledge of Regulatory Operations: Have knowledge and understanding of local and regional regulatory operations.
  • Knowledge of State Regulations: Have knowledge and understanding of state regulations.
  • Commitment to Community-Based Support: Demonstrate an understanding and commitment to community-based support for persons with disabilities.
  • Experience with Intake and Admissions: Have experience with intake and admissions processes.
  • Time Management Skills: Possess excellent time management skills.
  • Familiarity with Social Security and Medicaid: Have familiarity with Social Security and Medicaid.
  • Working Knowledge of ICD-10 Codes: Possess a working knowledge of ICD-10 codes.
  • Therap Experience: Have experience with Therap, a plus.
  • Microsoft Office Skills: Possess proficiency in Microsoft Outlook, Word, and Excel.
  • High School Diploma or Equivalent: Hold a high school diploma or equivalent.
  • Ability to Establish Relationships: Be able to establish a comfortable and supportive relationship with clients and team members.
  • General Understanding of ODP and Waiver Services: Have a general understanding of ODP and Waiver services, a plus.
Working Conditions
  • On-Call Requirements: May be required to be on-call in cooperation with other management staff.
  • Overtime Requirements: Moderate overtime required throughout the year.
  • Working Conditions: Minimal hazards, general office working conditions.
  • Valid Driver's License: Possess a valid driver's license with a good driving record.
