**Position Overview**

The role of a Healthcare Service Coordinator is pivotal in ensuring that a medical facility delivers exceptional care services. This position involves collaboration with administration, healthcare professionals, and patients to achieve healthcare objectives while maintaining open communication channels.

**Key Responsibilities**

  • Oversee the scheduling of healthcare providers to guarantee efficient and convenient patient care, including managing appointments through various communication methods.
  • Utilize software systems to effectively book appointments and update patient records.
  • Maintain a tidy work environment while adhering to all health policies and procedures.
  • Uphold patient confidentiality and foster a supportive atmosphere for privacy.
  • Handle the sending and receiving of medical devices for new deliveries and repairs.
  • Collect and document patient payments using an online system.
  • Prepare and send billing documentation to the business service support center.
  • Manage patient intake forms and ensure all paperwork is scanned into the practice management software.
  • Address patient inquiries both in person and via phone.
  • Develop a comprehensive understanding of the clinic to effectively resolve patient concerns.
  • Communicate patient requirements to healthcare providers.
  • Gain knowledge of insurance benefits to assist patients in navigating hearing tests and the acquisition of hearing aids.
  • Understand HIPAA regulations to ensure compliance.
  • Welcome patients and notify providers of their arrival.
  • Process payments for appointments, including handling transactions and issuing receipts.
  • Assist audiologists with various tasks as needed.
  • Manage incoming calls, schedule appointments, and relay messages to audiologists.
  • Monitor and respond to clinic emails and phone messages, directing them to the appropriate staff member.
  • Contact patients when hearing aids are ready for collection after repairs.
  • Coordinate delivery appointments for patients upon receipt of hearing aids.
  • Arrange courier services for sending packages to manufacturers.
  • Prepare necessary paperwork, forms, and agreements for patient appointments.
  • Organize electronic medical records, including data entry and document scanning.
  • Conduct daily settlement of receipts.
  • Identify and reorder supplies such as parts, batteries, and stationery as needed.
