Office Coordinator II

Work Mode: - Onsite

Location: - Onsite at Kohler, WI

Opportunity: Under the guidance of the Senior Manager of Maintenance & Campus Services, this role involves comprehensive support for the department leader and all skilled trades divisions across the campus through meticulous record management and various office functions.

Key Responsibilities:
  • Develop and sustain correspondence, memoranda, departmental records, and reports for the Maintenance & Campus Services department leader.
  • Propose and implement enhancements to office productivity. Utilize lean methodologies to eliminate non-value tasks and establish standardized processes across all departments.
  • Assist personnel with vendor training, manage corporate purchasing card transactions, and facilitate travel arrangements.
  • Compile routine reports and maintain records as mandated by Kohler Company protocols and Maintenance supervision (including reports on cost savings, grievances, job postings, and departmental training).
  • Coordinate meetings and appointments as needed by the Maintenance & Campus Services department leader.
  • Manage incoming mail by sorting and distributing accordingly.
  • Oversee the organization of all departmental filing systems.
  • Update and display safety information, departmental updates, and personnel slides on division monitors.
  • Create, revise, and manage all Maintenance Job Descriptions (Administrative Exempt, Administrative Non-Exempt, Factory Exempt, and Factory Non-Exempt).
  • Maintain and update files related to all Maintenance grievances received from the union hall, including documenting responses and scheduling meetings for grievance discussions.
  • Assist the department leader with Expense Reports post-business travel.
  • Serve as the webmaster for the Maintenance Division SharePoint site, ensuring all procedures are accessible to Kohler associates.
  • Administer all staffing requirements for Maintenance Skilled Trades, including updating files for openings and tracking the hiring process.
  • Maintain and monitor all skilled trades personnel records, including testing, certifications, and employment changes.
  • Process wage increases for manufacturing associates as required.
  • Utilize the Business Enterprise System (SAP) for generating personnel rosters and updating information as requested.
  • Order office supplies through online platforms using Enterprise Buyer software.
  • Document all purchases, retain receipts, and reconcile monthly statements for procurement cards.
  • Create forms for corporate and departmental use to enhance operational efficiency.
  • Support the skilled trades recruiting team by managing technical test administration and candidate progress tracking.
  • Assist the Fleet Management team with administrative tasks as needed.
  • Engage in special projects and additional duties as assigned by the Senior Manager of Maintenance & Campus Services.

    Skills/Requirements:
    • High school diploma is required.
    • A certificate or degree in an administrative field is preferred.
    • Proficient knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) is essential.
    • Familiarity with MS Access is a plus.
    • Strong keyboarding skills are necessary.
    • Ability to multitask and prioritize effectively is crucial.
    • Self-motivated individual capable of working independently with minimal supervision.
    • A minimum of two to three years of prior experience in administrative support or customer service is preferred.

    Compensation: The hourly range for this position is $24.95. The specific hourly rate offered may vary based on experience, education, and work location. Available benefits include medical, dental, vision, and 401k.
