We are seeking a highly organized and detail-oriented individual to join our Conferences and Events team as an Office Assistant. This role will provide administrative support to the team, including scheduling venues, coordinating event logistics, and providing exceptional customer service to the Lewis & Clark community.
Key Responsibilities- Liaise with the Lewis & Clark community to schedule venues for events
- Utilize Event Management System (EMS) reservation software to coordinate event logistics with various support teams across the institution
- Conduct on-boarding training to student leaders and new employees learning how to schedule and plan events at Lewis & Clark
- Create signage for College events using computerized equipment
- Coordinate event sign orders, and maintain sign-making supplies
- Occasionally assist with on-site event support for special events
- Provide office reception, answering phones, making photocopies, updating Web content, making deliveries to campus offices
- Conduct research and assist with event production tasks
- A demonstrated passion for the events industry is a must
- A friendly, welcoming attitude
- Ability to work independently
- Self-starter
- Excellent attention-to-detail, follow-through, customer service, and professionalism
- Ability to work quickly without errors
- Strong organizational, communication, and administrative skills
- Must have proficient PC computer skills
- A mature, reliable, flexible, patient person who is a quick learner with good judgment, leadership skills, and has strong interpersonal skills
- Work experience in an office setting is a plus
- Experience planning events, doing data research, and database entry also a plus
When working in the office or at College events, employee must dress in business casual attire.
