I. OBJECTIVE


The Accounting Specialist role is designed to assist our Controller in overseeing the financial responsibilities for our clientele, as well as for Altair Real Estate Services.

The Accounting Specialist will engage in billing functions, execute general ledger account reconciliations, prepare journal entries, compile financial reports, and support annual budgeting alongside cash flow forecasting.


II. RESPONSIBILITIES

The key duties of this position encompass, but are not limited to, the following:

  • Staff Related Tasks
a. Follow the Accounting Calendar and perform designated tasks in alignment with the Calendar (attached).

b. Process invoices for payment, including submission to Avid and obtaining necessary approvals daily.

c. Manage daily physical mail and shared email accounts.

d. Organize and maintain both paper and electronic files on a weekly basis.

e.

Monitor and manage insurance policies and certificates monthly, reaching out to vendors prior to expiration for updated Certificates of Insurance.

f. Reconcile monthly bank statements.

g. Record monthly expense accruals.

h. Assist the Controller with the month-end and year-end closing processes, including GL reconciliation, verifying posting accuracy, and drafting financial statements.

  • System Related Tasks
a.

Oversee the Accounts Payable processing system (currently Avid Xchange), by clearing exception queues daily, coding all accounting invoices, routing invoices to the appropriate personnel, and batching approved invoices.


b. Clock in and out daily and submit time-off requests via Webclock.

c. Organize email communications daily.

  • Vendor Related Tasks
a. Liaise with external contractors/service providers for updated Certificates of Insurance.

b. Communicate with vendors to ensure timely receipt and payment of all invoices.

  • Client & Tenant Related Tasks
a. Deliver exceptional customer service and responses to tenants and property owners.

b. Coordinate with tenants for updated Certificates of Insurance.

Perform additional duties as necessary for the efficient operation of the business.

III. QUALIFICATIONS

Education: A Bachelor's Degree in Accounting, Finance, or Business Administration is required. An Associate's Degree in Accounting may be considered with relevant experience.

Experience: 1-3 years of experience in the field.

IV. SPECIAL REQUIREMENTS

  • Valid driver's license.
  • Excellent oral and written communication skills.
  • Strong analytical and organizational abilities.
  • Ability to support and contribute positively to the team.
  • Maintain a neat, professional appearance at all times during work hours and when present on property.
  • Proficient in operating a telephone, personal computer/keyboard, Microsoft Office Suite, and Property Management Software.
  • Adhere to expectations outlined in the employee handbook.
  • Demonstrate the ability to address and resolve customer concerns effectively to prevent escalation.
