Job Summary

We are seeking a highly organized and detail-oriented Receptionist to join our team at Innovate Consulting. As a key member of our front office team, you will be responsible for providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of our office.

Key Responsibilities
  • Customer Service: Answer and direct incoming calls and emails to appropriate departments or personnel, taking and relaying messages as needed.
  • Administrative Support: Manage and schedule appointments, meetings, and conference room bookings, maintaining and updating calendars.
  • Office Operations: Perform general office duties such as filing, data entry, and managing correspondence, assisting with office supply inventory and ordering.
  • Document Preparation: Prepare and distribute documents, reports, and presentations as requested, maintaining filing systems both electronic and paper.
  • Client Communication: Address and resolve client inquiries and concerns promptly and professionally, providing information about the company's services and policies.
  • Office Maintenance: Ensure the reception area is clean, organized, and well-stocked, assisting with coordinating office events and meetings.
Requirements
  • Experience: Previous experience as a receptionist or in a similar customer service role is preferred.
  • Education: High school diploma or equivalent is required; additional qualifications or certifications in office administration are a plus.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers) is essential. Experience with reception-specific software or CRM systems is advantageous.
  • Personal Qualities: Excellent verbal and written communication skills, ability to interact effectively with a diverse range of people, strong organizational and multitasking abilities, attention to detail, and accuracy in handling administrative tasks.
