Job Summary

Ceres Terminals is seeking a highly organized and detail-oriented Administrative Assistant to provide general office support for the Union Employee Transitional Duty Program and operations clerical activities and tasks.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the Union Employee Transitional Duty Program, including creating and sending transitional duty letters to union partners, managing mail, requisitioning supplies, documentation, data entry, and sending communications.
  • Office Operations: Assist with office operations, including answering and directing phone calls, organizing and scheduling meetings and appointments, maintaining office contact lists, and producing and distributing correspondence memos, letters, faxes, and forms.
  • Customer Service: Provide general support to customers and visitors with general information and respond to inquiries in a professional and courteous manner.
  • Documentation and Data Entry: Maintain accurate and up-to-date records, including documentation and data entry, to ensure compliance with company policies and procedures.
  • Learning and Development: Participate in managing the Litmos learning system, assign courses, and assist with account access issues for JV employees.
Requirements
  • Education: High school diploma or equivalent required.
  • Experience: Proven administrative assistant experience, preferably in a similar industry.
  • Skills: High proficiency in MS Office, excellent time management skills, ability to multi-task and prioritize work, attention to detail, problem-solving skills, excellent written and verbal communication skills, and strong organizational and planning skills.
Work Environment

The required job duties are performed in a professional office environment.
