Job Summary

We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our team at Avamere Family of Companies. As a key member of our administrative staff, you will be responsible for providing exceptional customer service and ensuring the smooth operation of our front desk.

Key Responsibilities:
  • Answering Phones: Respond to incoming calls in a professional and courteous manner, directing calls to the appropriate staff member or taking messages as needed.
  • Facility Paging System: Operate the facility paging system to communicate with staff members and residents.
  • Resident List and Incoming Calls: Manage the resident list and incoming calls to residents, ensuring that all calls are handled in a timely and efficient manner.
  • Greeting Visitors: Greet visitors and guests in a friendly and welcoming manner, providing directions and information as needed.
  • Sign In/Out Log: Manage the sign in/out log, ensuring that all visitors abide by existing rules and regulations.
  • Administrative Support: Assist the Administrator and Department Directors with administrative tasks, such as receiving and sorting mail, and distributing it to the appropriate staff members.
Requirements:
  • Education: High school diploma or equivalent required; additional education or secretarial training preferred.
  • Experience: 1+ years of experience in a clerical position, preferably in a healthcare office setting; 1+ years of experience in a customer service position.
  • Skills: Ability to use general office equipment and computer systems required; must present a professional appearance and reputation to represent Avamere and this facility.
  • Confidentiality: Maintain confidentiality of all resident care information in accordance with HIPAA guidelines.
  • Customer Service: Create and uphold an atmosphere of warmth, patience, enthusiasm, and a calm and cheerful environment.
