Position Summary:
The Medical Secretary plays a vital role in supporting the operations of the Comprehensive CARE Center, which encompasses various service lines. This position is responsible for a range of clerical and administrative tasks, including maintaining records, preparing documents, and managing office supplies.

Key Responsibilities:
1. Assist clinical staff in preparing for patient appointments and processing post-visit documentation, ensuring all necessary forms are completed.
2. Handle incoming calls from patients and healthcare providers with professionalism and accuracy.
3. Confirm patient appointments and provide pre-visit instructions as directed by medical personnel.
4. Build and maintain positive relationships with patients, families, and referral sources, ensuring a welcoming environment.
5. Facilitate communication regarding services offered to patients and referral sources.
6. Manage patient correspondence, including appointment confirmations and introductory letters.
7. Conduct pre-registration and registration tasks to ensure accuracy for billing and medical records.
8. Complete necessary paperwork promptly and maintain organized records.
9. Oversee patient check-out processes and schedule follow-up appointments as needed.
10. Inform patients of any financial responsibilities when necessary.
11. Report daily to supervisors on any issues that require attention to maintain operational efficiency.
12. Monitor and order office supplies as needed.
13. Follow up with patients who miss appointments to reschedule as appropriate.
14. Ensure the office and waiting areas are tidy and welcoming.
15. Uphold high standards of customer service, productivity, and communication.
16. Participate in initiatives aimed at improving service quality and interdepartmental collaboration.
17. Perform additional duties as assigned.

Qualifications:
Education: High school diploma or equivalent; an Associate's degree in Business or Healthcare Administration is preferred.
Experience: 2-3 years of experience in a medical office or similar environment, with proficiency in computer systems and a general understanding of medical terminology.

Skills:
Ability to manage multiple tasks effectively, communicate clearly with patients and staff, adapt to changing needs, maintain confidentiality, and demonstrate strong organizational skills. Proficiency in Microsoft Office and a commitment to customer service excellence are essential.
