Position Summary:
The Comprehensive CARE Center operates various service lines, and the Medical Secretary plays a crucial role in supporting clerical operations. This position is responsible for maintaining departmental records, preparing documentation, managing office supplies, and assisting with patient scheduling and insurance processes.

Key Responsibilities:
1. Support physicians and clinical staff in preparing for patient visits and processing post-visit documentation, ensuring all necessary forms are completed.
2. Respond to patient inquiries and communications from physician offices and payers with professionalism and accuracy.
3. Confirm appointments and provide pre-visit instructions as directed by healthcare providers, ensuring all required patient information is gathered.
4. Establish and maintain positive relationships with patients, families, and referral sources, ensuring comfort and safety in the waiting area.
5. Facilitate communication regarding services offered to patients and referral sources.
6. Prepare and send out patient communications, including appointment confirmations and introductory letters.
7. Accurately perform pre-registration and registration tasks to minimize billing errors and maintain accurate medical records.
8. Ensure timely completion of necessary paperwork and maintain organized records within the Center.
9. Manage patient check-out processes and coordinate any required follow-up appointments or testing.
10. Inform patients of their financial responsibilities when necessary.
11. Communicate daily with supervisors regarding any issues that require immediate attention to ensure smooth operations.
12. Monitor and order office supplies as needed to maintain efficient operations.
13. Track patients who miss appointments and assist in rescheduling as appropriate.
14. Maintain a clean and organized office and waiting area.
15. Uphold high standards of customer satisfaction, productivity, and communication.
16. Participate in performance improvement initiatives to enhance service delivery and interdepartmental collaboration.
17. Perform additional duties as assigned.

Qualifications:
Education: High school diploma or equivalent; an Associate's degree in Business or Healthcare Administration is preferred.
Experience: 2-3 years of experience in a medical office or related environment, with proficiency in computer systems and a general understanding of medical terminology. Experience with Electronic Medical Records (EMR) is preferred.
Skills: Ability to manage multiple tasks, communicate effectively with patients and staff, adapt to changing needs, maintain confidentiality, and demonstrate strong organizational skills. Proficiency in Microsoft Office and customer service is essential.
