Position Summary:
The Comprehensive CARE Center operates as a transitional practice offering a variety of services. The Medical Secretary plays a vital role in providing administrative support, managing departmental records, preparing essential documents, and ensuring the smooth operation of office supplies and forms. This position also involves assisting with patient scheduling, registration, and insurance verification.

Key Responsibilities:
1. Support physicians and clinical staff in preparing for patient visits and managing post-visit documentation, ensuring all necessary forms are completed.
2. Respond to patient inquiries and communications from physician offices and insurance providers in a professional manner.
3. Confirm appointments and provide pre-visit instructions as directed by medical staff, ensuring all required patient information is gathered.
4. Establish and maintain positive relationships with patients, families, and referral sources, ensuring a comfortable waiting environment.
5. Facilitate communication regarding services offered to patients and referral sources.
6. Manage patient correspondence, including appointment confirmations and introductory letters.
7. Accurately perform pre-registration and registration tasks to minimize billing errors and maintain data integrity.
8. Complete and follow up on necessary paperwork promptly, maintaining organized records and documentation.
9. Assist with patient check-out procedures and coordinate any required follow-up appointments or testing.
10. Inform patients of their financial responsibilities when necessary.
11. Communicate daily with supervisors regarding operational issues to ensure efficiency.
12. Monitor and order office supplies as needed to maintain inventory levels.
13. Track and follow up with patients who miss appointments to reschedule as appropriate.
14. Maintain a clean and organized office and waiting area.
15. Uphold high standards of customer service, productivity, and teamwork.
16. Participate in initiatives aimed at improving service quality and interdepartmental communication.
17. Perform additional duties as assigned.

Qualifications:
Education: High school diploma or equivalent; an Associate's degree in Business or Healthcare Administration is preferred.
Experience: 2-3 years of experience in a medical office or similar environment, with proficiency in computer systems and a solid understanding of medical terminology. Experience with electronic medical records (EMR) is advantageous.
Skills: The ideal candidate will possess strong multitasking abilities, effective communication skills, adaptability to changing needs, and a commitment to maintaining confidentiality. Proficiency in Microsoft Office Suite and a strong customer service orientation are essential.
