Job Overview:

We are seeking a highly organized and detail-oriented Assistant Property Manager to support the daily operations of a portfolio of rental properties. As a key member of our team, you will be responsible for ensuring seamless day-to-day operations, providing exceptional customer service, and maintaining accurate records.

Your Responsibilities:
  • Manage the lease assignment process from start to finish, ensuring timely and accurate execution.
  • Coordinate sublet processes, occupant changes, and rent roll updates, maintaining accurate records and communicating effectively with stakeholders.
  • Monitor Airbnb rentals to prevent illegal activities and ensure compliance with company policies.
  • Notify tenants of NSF's (insufficient funds) and assist in rent collections, preparing arrears reports as needed.
  • Maintain BuildingLink and Connect, ensuring tenant data is up-to-date and accurate.
  • Collaborate with exterminators on scheduling, unit, and common area issues, tracking bed bugs and other pests.
  • Draft and distribute memos, notices, and correspondence to tenants and vendors, ensuring timely and effective communication.
  • Track arrears, send notices, and follow up with residents to resolve any issues.
  • Respond to all communications within 24-48 hours, providing exceptional customer service and resolving inquiries promptly.
  • Address tenant complaints and follow up on nuisance issues, ensuring a positive living experience.
  • Monitor FSR's 24/7 Customer Care Call Center for log issues and inquiries, communicating directly with ClickPay and residents to resolve billing issues.
  • Respond to landlord verification requests and follow up on renewals to ensure timely responses and proper paperwork.
  • Process new leases and enter data in Yardi, maintaining accurate records and ensuring compliance with company policies.
  • Process cancellations and extensions in Yardi, updating records and communicating with stakeholders as needed.
  • Maintain renewal spreadsheets, vacancy reports, bedbug tracking reports, concession spreadsheets, and late fee reports, providing regular updates to the Leasing Administration team.
  • Ensure timely return of security deposits and input ancillary charges and credits to tenant accounts.
  • Track move-outs, coordinating with Resident Managers on damages and key returns, and respond to all correspondence associated with tickets entered in Zendesk.
Skills & Qualifications:
  • Minimum 2 years' experience in residential rental property management, with luxury, affordable, and 421a Tax Abatement experience a strong plus.
  • Superior verbal and written communication skills, with proven customer service experience and a high-energy, positive attitude.
  • Excellent organizational, time management, and leadership skills, with the ability to multitask under pressure and adapt to changing situations.
  • Independently motivated, self-starter, and flexible, with a strong work ethic and commitment to excellence.
  • Proven leadership and teamwork skills, with a working knowledge of Microsoft Office and Windows environment.
  • Experience with Yardi Voyager, AvidXchange, ClickPay, and OnSite a plus.
