ROLE SUMMARY:

The selected candidate will play a crucial role in managing office operations and bookkeeping tasks. This position requires a proactive individual who can work autonomously while providing support to a team of creative and technical professionals.

KEY RESPONSIBILITIES:

  • Oversee daily bookkeeping functions, including invoicing and accounts management.
  • Conduct bank and credit card reconciliations.
  • Handle collections and customer service inquiries through various channels.
  • Assist in operational support, addressing client needs and proposing solutions.
  • Maintain inventory of office supplies and manage vendor relationships.
  • Prepare correspondence, reports, and project proposals.
  • Provide executive support to the Principal Architect, including scheduling and task management.
  • Coordinate software licenses and subscriptions maintenance.
  • Support marketing initiatives and manage office policies.
  • Collaborate with payroll and accounting professionals for financial oversight.
  • Track project statuses and prepare financial reports.

QUALIFICATIONS:

Applicants should possess:

  • Experience with bookkeeping software, particularly Quickbooks.
  • Strong customer service skills and professional etiquette.
  • Excellent organizational and planning abilities.
  • Proficiency in MS Office applications.
  • Effective communication skills, both verbal and written.

PREFERRED SKILLS:

  • Bilingual in Spanish and English.
  • Bachelor's Degree in accounting, finance, or a related field.
  • Interest or experience in creative design.
  • Experience in collections and familiarity with HR or IT.
