Administrative Specialist

Center for Independent Living of South Florida seeks a highly organized and detail-oriented Administrative Specialist / Bookkeeper to join our team.
This dual role requires a dynamic individual capable of handling both administrative and light bookkeeping tasks, ensuring smooth operation of our office and accurate financial management.
The ideal candidate will have strong communication skills, proficiency in bookkeeping, and a proactive attitude supporting daily business functions.
Responsibilities:
- Prepare and distribute internal and external communications, including reports, memos, and e-mails.
- Assist in scheduling meetings and coordinating travel arrangements.
- Point of contact for organization's vendors.
- Ensure the office is well-maintained, managing office supplies and equipment needs.
- Maintain organized filing systems, both electronic and physical.
Bookkeeping Responsibilities:
- Maintain accurate financial records, including processing invoices, expense reports, and purchase orders.
- Prepare reports for management as needed.
- Perform accounts payable/receivable functions, ensuring timely and accurate payments and collections.
- Reconcile bank statements and ensure accurate recording of financial transactions.
- Prepare and process payroll, ensuring compliance with tax regulations and policies.
Requirements:
- Either a Bachelor's in Accounting or Business Administration or related degree and/or an Associate with a minimum of 2 years of experience in a similar position.
- Must have knowledge of QuickBooks.
- Strong time management and organizational skills, able to work with tight deadlines.
- Ability to speak in Spanish or Creole preferred.
- Proficient in Microsoft Office.
- Ability to manage complex and highly confidential information.
- Strong interest with the disability community preferred.
- Must have access to reliable transportation.
- Must be willing to occasionally work evenings and on the weekends.
