As an Executive Support Specialist, you will provide high-level administrative support to our executives and their teams, handling confidential information requests, preparing reports, and performing clerical tasks such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and managing travel arrangements and calendar.
Responsibilities:
* Manage calendar, schedule, and coordinate meetings, conferences, and appointments, prioritizing and optimizing the executive's time to ensure productive workflow.
* Arrange complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and dining, providing comprehensive travel packages with all necessary documentation and information.
* Prepare meeting agendas, presentations, and relevant materials, coordinate logistics for internal and external meetings, ensuring smooth execution.
* Organize and maintain confidential files and documents, both digital and physical, assist in preparation of reports, memos, and presentations.
* Monitor and reconcile expense reports, ensuring accuracy and compliance with company policies.
Requirements:
* Bachelor's Degree required (Business Administration or Finance preferred)
* Minimum 8 years of experience working as an administrative assistant, providing support to high-profile stakeholders.
* High energy but composed, with a good speaking voice, excellent presentation, and confident demeanor.
* Proactive rather than reactive - plans for all eventualities but ability to be flexible to changing work demands at short notice.
* Discretion and trustworthiness.
* High performer who develops careful plans and executes consistently and effectively.
* Must be a big picture person while still able to consider the smallest detail.
* Able to work collaboratively and bring out the best in people.
* Sense of humor, humility, earnestness, and bright disposition essential.

We offer a competitive salary range of $110,000 - $150,000 per year.
