Job Summary

We are seeking a highly organized and detail-oriented Outreach Assistant to support our outreach team in executing community engagement strategies, organizing events, and promoting organizational programs.

Key Responsibilities:

  • Event and Activity Support:
    • Assist in planning, coordinating, and executing community outreach events, workshops, and presentations.
    • Help with setup, breakdown, and logistical coordination of events.
    • Distribute outreach materials such as flyers, brochures, and promotional items at community events.
  • Administrative Support:
    • Provide administrative assistance to the outreach team, including scheduling meetings, managing calendars, and responding to inquiries.
    • Assist with data entry and maintenance of contact databases for community partners and stakeholders.
    • Prepare reports, meeting notes, and summaries of outreach activities.
  • Community Engagement:
    • Help identify and engage with community organizations, local businesses, and individuals to expand outreach efforts.
    • Support outreach staff by attending community meetings, fairs, and forums.
    • Provide information to the public about the organization's services and programs.
  • Communication Support:
    • Assist with creation and distribution of outreach materials such as newsletters, social media posts, and emails.
    • Help maintain the organization's social media presence by posting updates and engaging with followers.
    • Track and report on outreach activities' effectiveness through surveys and feedback collection.
  • Volunteer Coordination:
    • Assist in recruiting and coordinating volunteers for outreach events and activities.
    • Ensure volunteers are briefed and equipped for events, and help with volunteer scheduling.

Requirements:

  • High school diploma or GED required; associate degree or coursework in Communications, Marketing, Social Work, or a related field preferred.
  • 1-2 years of experience in administrative support, outreach, or community engagement.
  • Strong organizational and multitasking skills.
  • Good verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable using social media platforms.
  • Ability to work well both independently and as part of a team.
  • Experience in event coordination is a plus.

Preferred Skills:

  • Bilingual proficiency (if relevant to the community served).
  • Experience working in a nonprofit or community-based organization.
  • Familiarity with CRM software or other database management tools.
