Job Overview

SUMMARY

A Construction Project Financial Specialist oversees the comprehensive job cost and contract accounting functions linked to assigned construction and development projects. This role includes the meticulous review and completion of all project-related invoices. The position necessitates interaction with clients and vendors through various communication channels, requiring strong organizational and communication skills.

KEY RESPONSIBILITIES

  • Scrutinize accounts payable invoices, ensuring proper coding and entry.
  • Maintain comprehensive project documentation, including contracts and amendments.
  • Authorize the allocation of expenses to and from project-specific accounts.
  • Monitor and track necessary lien releases for designated projects.
  • Prepare and submit AIA billing to subcontractors.
  • Collaborate closely with Project Engineers and Project Managers to ensure optimal financial performance and timely budget revisions.
  • Assist in the investigation, reconciliation, and balancing of project expenditures.
  • Validate the accuracy of invoices and related financial documents.
  • Reconcile records with internal staff and external vendors or clients.
  • Compile data and generate a variety of financial reports.
  • Provide administrative support and assist with special projects as directed by the Accounting Supervisor.
  • Perform general bookkeeping tasks.
  • Review purchase orders for proper documentation and authorization prior to invoice processing.
  • Support daily accounting functions.
  • Update and maintain the customer and vendor database utilizing Sage and Procore.
  • Employ software tools such as QuickBooks, Word, Excel, Adobe, Sage, Outlook, and Procore, along with online collaboration platforms.
  • Ensure thorough and accurate maintenance of files and documentation in accordance with company policies and generally accepted accounting principles (GAAP).
  • Participate in the organization and execution of accounting projects as needed, representing the company professionally and maintaining strong customer relationships through clear and consistent communication.

PHYSICAL REQUIREMENTS

  • Ability to lift and carry items weighing up to 25 pounds occasionally.
  • General office tasks.
  • Effective communication skills via email and phone.

WORK ENVIRONMENT

  • Office setting. Full-time position with standard hours.

QUALIFICATIONS

Minimum of 2-5 years of experience in an accounting role. Proficiency in QuickBooks, Word, Excel, and Outlook is essential. Strong clerical skills, including effective communication and organizational abilities, are required. A professional demeanor, sound judgment, and the ability to handle confidential information are critical. Effective communication with clients and colleagues, along with the ability to work collaboratively in a team environment, is necessary.
