SAIC is seeking a detail-oriented and highly efficient Senior Administrative Coordinator to deliver high-level management and analytical assistance to the Office of Strategic Capital (OSC) Strategy Division within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)). This role is situated in a dynamic environment that necessitates close collaboration with senior leadership across various sectors, including government, industry, and academia, to fulfill mission objectives.

Key Responsibilities:

  • Maintain a proactive communication strategy for the Strategy Division concerning taskings, meeting requests, and decision-making items.
  • Oversee complex executive schedules, coordinate visit requests, and resolve scheduling conflicts for senior officials.
  • Collect and analyze information; present findings effectively; and provide decision-making support to ensure mission success, including summarizing communications and facilitating follow-ups.
  • Organize appropriate meeting venues and prepare them according to established protocols and security measures.
  • Assist in planning special events, including logistics such as timing, location, duration, and security considerations.
  • Review and manage executive correspondence, ensuring adherence to established standards.
  • Support government personnel with travel arrangements, utilizing the Defense Travel System (DTS) in compliance with relevant regulations.
  • Identify and report maintenance needs to ensure operational efficiency of office facilities.

Qualifications

Education and Experience:

  • A Bachelor's degree with a minimum of six (6) years of relevant experience, or a Master's degree with four (4) years of experience. Specialized experience in executive assistance may substitute for specific educational requirements.

Clearance Requirements:

  • No initial clearance is required; however, the ability to obtain and maintain a TS/SCI clearance is necessary for continued employment.
  • U.S. citizenship is mandatory.

Essential Skills:

  • Strong skills in problem identification and resolution, adaptability, initiative, and effective communication with senior executives.
  • Ability to work autonomously in a fast-paced environment, managing multiple tasks and communications simultaneously.
  • Meticulous attention to detail.
  • Proficient in drafting and editing correspondence and memos.
  • Advanced skills in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace (Sheets, Slides, Docs), along with familiarity with various teleconferencing platforms.
  • Exceptional organizational and interpersonal abilities.

Preferred Qualifications:

  • Experience with National Archives and Records Administration (NARA) requirements for records management.
  • A minimum of five years of direct administrative support experience for senior military or civilian officials.
  • Familiarity with the Defense Travel System (DTS).
