Stanford University is looking for an Administrative Associate 3 to deliver operational and administrative support with minimal oversight for the Stanford Brain Tumor Center.
This role may involve leading other administrative personnel or team members.
Responsibilities include acting on behalf of the supervisor or department manager to set priorities and tackle administrative challenges.
Key duties encompass overseeing and executing tasks related to scheduling, organizing, and managing intricate conferences, seminars, and events. This includes coordinating with vendors for services, supervising the creation and distribution of materials, handling logistics, and ensuring events remain within budget.
Additionally, the role involves composing and drafting documents and correspondence for presentations, course materials, grants, conferences, seminars, and reports, with a focus on thorough editing and fact-checking.
Maintaining, updating, and ensuring the accuracy of various unit documents, displays, reports, brochures, social media content, and websites is also essential.
The Administrative Associate will plan and manage calendars with limited consultation, resolve scheduling conflicts, and arrange travel in accordance with university and sponsor policies.
Creating complex reports and spreadsheets using specialized software and systems is a key aspect of this position.
Furthermore, the role includes overseeing and processing a variety of intricate financial transactions, identifying and resolving discrepancies, and assisting with capital or special equipment requests.
Planning and coordinating office relocations or minor renovation projects may also be required.
This position may involve supervising the daily activities of student and temporary workers, including task assignment, workload prioritization, deadline setting, and quality review.
In addition, the Administrative Associate will manage and prepare grant submissions to support the activities of the Brain Tumor Center.
Qualifications: A high school diploma along with four years of administrative experience, or a combination of education and relevant experience is required. Advanced computer skills and proficiency with office software and email applications are essential.
Successful candidates will demonstrate a strong ability to follow through and complete projects, take initiative, and assume ownership of tasks. The role requires frequent desk-based computer work, with occasional physical tasks such as standing, walking, reaching, and lifting objects up to 10 pounds.
