General Overview: The Payroll Specialist role involves specialized tasks that necessitate the application of fundamental bookkeeping principles and practices to maintain payroll and associated records efficiently.

Reporting Structure: This position reports directly to the Director of HR.

Required Qualifications:

  • High school diploma or equivalent is essential, complemented by a blend of education, training, and experience that equips the candidate with the necessary knowledge, skills, and abilities.
  • A minimum of two years of payroll experience is mandatory.
  • Proficiency in computer-based payroll and accounting systems within a medium-sized organization is required, ideally with experience in governmental accounting software.
  • Expertise in Excel and familiarity with HRIS/Payroll platforms such as Paylocity, Paycom, ADP, or Workday is essential.
  • Strong decision-making abilities and the capacity to manage multiple tasks in a high-pressure environment with specific deadlines are crucial.
  • A willingness to engage with a diverse range of individuals and groups is necessary.
  • Capability to organize tasks, adapt swiftly to changes, and perform under deadline pressure is required.
  • Key abilities include effective communication with various groups, maintaining confidentiality, meeting deadlines, prioritizing tasks, collaborating as part of a team, and managing frequent interruptions.

Performance Duties:

  • Maintain payroll information through accurate data collection, calculation, and entry.
  • Process direct deposit transactions and issue paychecks.
  • Calculate and remit payroll taxes.
  • Prepare and distribute annual W-2 forms to employees.
  • Update master payroll records by entering changes in exemptions and banking details.
  • Ensure precise and timely reporting of employee time and attendance.
  • Compile reports summarizing earnings, taxes, deductions, and leave.
  • Determine payroll liabilities by calculating federal and state income tax, FICA taxes for both employees and employers, and workers' compensation.
  • Resolve payroll discrepancies through thorough information collection and analysis.
  • Assist various employee groups with payroll inquiries and requests.
  • Maintain payroll operations by adhering to established policies and procedures, reporting necessary changes.
  • Exhibit trustworthiness and attention to confidentiality.
  • Contribute to team efforts to ensure personnel receive accurate compensation promptly.
  • Perform additional duties and responsibilities as assigned.
