Role Summary:

The Human Resources Specialist plays a crucial role in assisting the Human Resources Manager and the HR team across various human resources functions. This includes, but is not limited to, benefits management, recruitment and talent acquisition, policy enforcement, data reporting, maintaining an accurate Human Resources Information System (HRIS), and managing employee relations.

Additionally, the HR Specialist will support the HIPAA compliance officer in developing, managing, and implementing a privacy program to ensure adherence to federal and state HIPAA regulations, particularly concerning the handling of protected health information.

Key Responsibilities:

  • Facilitate talent acquisition processes by ensuring a seamless recruitment experience. Responsibilities include posting job openings, overseeing the hiring workflow, scheduling interviews, and managing applicant tracking. Collaborate with the HR team and hiring managers to coordinate onboarding processes.
  • Manage the exit process for departing staff, including conducting exit interviews and processing necessary documentation.
  • Assist in the daily administration of employee benefits programs, serving as a liaison to the Finance department for payroll and benefits inquiries.
  • Oversee employee leave administration, including FMLA and other medical leaves, ensuring compliance with applicable regulations.
  • Handle workers' compensation claims and maintain OSHA compliance, including scheduling ergonomic assessments as needed.
  • Address employee relations matters by effectively managing issues and concerns, escalating to the Human Resources Manager when necessary.
  • Support the HIPAA compliance officer in developing training programs related to health information privacy and maintain up-to-date knowledge of relevant laws and regulations.
  • Provide backup support for other HR roles and assist in departmental initiatives as required.

Qualifications:

  • A bachelor’s degree in a relevant field or completion of specialized training or certification.
  • Experience in HR and/or HIPAA compliance is preferred, ideally with two or more years in a similar role.

Required Skills:

  • Comprehensive knowledge of HR functions and employment law.
  • Strong attention to detail and the ability to manage multiple priorities effectively.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Proficiency in computer applications, particularly MS Office and HRIS systems.
  • Exceptional organizational and problem-solving skills.
  • Ability to build and maintain relationships in a culturally diverse environment.
  • Self-motivated with the ability to work independently while being a collaborative team player.
  • Professional demeanor with a positive attitude and a commitment to providing excellent service.
  • Strong communication skills, both written and verbal, with the ability to convey complex information clearly.
  • In-depth understanding of HIPAA regulations and related privacy laws.
  • Successful completion of background checks as mandated by the organization.
