Role Summary:

The Human Resources Coordinator plays a vital role in supporting the Human Resources Manager and the HR team in various human resources functions. Responsibilities include, but are not limited to, benefits management, recruitment and talent acquisition, policy enforcement, data reporting, maintaining an accurate Human Resources Information System (HRIS), and fostering employee relations.

Additionally, the HR Coordinator will assist the HIPAA compliance officer in developing, managing, and implementing a privacy program to ensure adherence to federal and state HIPAA regulations regarding the handling of protected health information.

Key Responsibilities:

  • Facilitate talent acquisition processes, ensuring smooth recruitment operations. This includes posting job vacancies, managing the hiring workflow, scheduling interviews, participating in interviews as necessary, and overseeing applicant tracking. Coordinate onboarding processes with the HR team and hiring managers.
  • Manage the exit process for departing employees, including conducting exit interviews, processing exit paperwork, and updating the HRIS.
  • Assist in the daily administration of employee benefits programs, acting as a liaison with Finance for payroll and benefits inquiries, and helping employees navigate benefits-related questions.
  • Oversee employee leave administration, including FMLA and other medical leaves, and coordinate short-term and long-term disability benefits as applicable.
  • Handle workers' compensation claims and OSHA reporting, including scheduling ergonomic assessments when necessary.
  • Address employee relations issues and concerns, escalating matters to the Human Resources Manager as needed, particularly those involving sensitive information.
  • Support the HIPAA compliance officer in developing training on health information privacy and maintaining knowledge of relevant laws and regulations.
  • Provide backup support for other HR Specialists and assist the Director of HR & Talent Development as required.
  • Participate in departmental initiatives and perform additional duties as assigned.

Qualifications:

  • A bachelor's degree in a relevant field or completion of specialized training or certification.
  • Experience in HR and/or HIPAA compliance is preferred, ideally with two or more years in a similar role.

Skills and Competencies:

  • Comprehensive understanding of HR functions and employment law.
  • Strong attention to detail and the ability to manage multiple priorities effectively.
  • Capability to handle sensitive information with confidentiality.
  • Proficiency in MS Office and HRIS applications.
  • Exceptional organizational and problem-solving skills.
  • Ability to cultivate strong relationships in a culturally diverse environment.
  • Self-motivated with a strong sense of integrity and teamwork.
  • Professional demeanor with excellent communication skills, both written and verbal.
  • Solid understanding of HIPAA regulations and related privacy laws.
  • Successful completion of background checks as required by the organization.
