We are seeking a highly motivated and detail-oriented Bilingual Appointment Coordinator to join our team at 5TH HQ LLC. As a key member of our administrative staff, you will play a vital role in ensuring seamless patient interactions and efficient office operations.
\Responsibilities:- Appointment Coordination: Schedule patient appointments, follow-ups, and consultations, ensuring accurate and efficient management of the office calendar.
- Patient Communication: Handle phone calls, emails, and in-person inquiries from patients, providing top-notch customer service in both English and Spanish.
- Patient Intake: Assist with patient check-ins, verify insurance information, update patient records, and ensure necessary documentation is completed prior to appointments.
- Reminder Calls: Conduct appointment reminder calls and send confirmation messages to reduce no-show rates and ensure patients are informed about their appointments.
- Coordination: Collaborate with team members to manage appointment availability, reschedule appointments when necessary, and optimize office workflow.
- Administrative Support: Perform general administrative duties such as filing, faxing, and managing correspondence to support the office's daily operations.
- Patient Satisfaction: Address patient concerns, answer questions, and provide information about office policies, procedures, and services to enhance the patient experience.
- Bilingual Proficiency: Fluency in both English and Spanish, with strong verbal and written communication skills in both languages.
- Customer Service: Excellent customer service skills with a patient-focused attitude and the ability to handle sensitive situations with empathy and professionalism.
- Organizational Skills: Strong organizational skills with the ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Medical Knowledge: Basic understanding of medical terminology and office procedures is preferred.
- Technology Skills: Proficiency in using office software, electronic medical records (EMR) systems, and scheduling tools.
- Attention to Detail: High level of accuracy in managing patient information, scheduling, and documentation.
- Team Collaboration: Ability to work effectively with medical staff, patients, and other administrative personnel in a collaborative team environment.
