Responsibilities:
Customer Service:
Welcome patients, families, and visitors with warmth, actively listening to their needs and providing opportunities for questions.
Collaborate with healthcare team members to address patient and family concerns, ensuring timely resolutions.
Communicate effectively with patients and families, providing updates and essential information.
Answer phone calls in a professional and courteous manner, screening and routing calls appropriately.
Manage patient appointments, including scheduling, cancellations, and rescheduling in accordance with office procedures.
Support digital communication efforts with the highest level of service while adhering to regulations.
Gather and verify demographic and insurance information for patient records and claims processing.
Assist in charge capture and billing accuracy for both providers and patients.
Handle payment collection and daily reconciliation of receivables.
Open and close the clinic following established guidelines.
Work with support services to maintain a clean and welcoming environment.
Demonstrate effective communication skills and positive interactions with patients, families, and team members.
Administrative/Clerical Support:
Work independently to complete assigned tasks promptly.
Stay informed about clinic and organizational updates through meetings and internal communications.
Maintain regular attendance and compliance with safety and risk management guidelines.
Ensure the protection of health information and adhere to corporate compliance and HIPAA policies.
Show initiative in enhancing quality and customer service by exceeding expectations.
Balance team and individual responsibilities, fostering a collaborative environment.
Perform additional duties as assigned by the Clinic Administrator to support efficient office operations.
Qualifications:
Minimum Requirements:
High School or Vocational School graduate.
Preferred or Specialized:
Previous experience in a medical office setting is preferred.
Familiarity with electronic health records or medical office software is advantageous.
Experience with coding diagnoses and procedures is preferred.
Knowledge/Skills/Abilities:
Strong customer service skills.
Proficiency in entering information into various computer programs.
Ability to understand and apply guidelines, policies, and procedures.
Effective interaction with healthcare professionals and diverse individuals.
Fluency in English, both written and spoken.
Multicultural sensitivity and basic computer skills, including Microsoft Office.
Critical thinking skills and the ability to make independent decisions.
Knowledge of medical terminology, anatomy, and physiology.
