Patient Service Representative

Grand River Medical Group is in search of a dedicated and compassionate individual to join our team as a Patient Service Representative in our dynamic urgent care environment. This role involves greeting and registering patients while ensuring accurate demographic information is collected. Responsibilities include verifying insurance details, processing payments, handling phone inquiries, and performing additional tasks as required.

The ideal candidate will demonstrate excellent verbal communication skills and a high level of professionalism. You will play a crucial role in fostering a positive patient experience while managing multiple tasks to ensure efficient care delivery.

As a Patient Service Representative, proficiency in using office equipment such as computers, telephones, and fax machines is essential. You will receive training to become proficient in our patient scheduling software and electronic medical records system.

This is a full-time role, requiring 35-40 hours per week with a rotating schedule that includes evenings and weekends. Our Urgent Care facilities operate Monday through Friday from 7:30 AM to 7:00 PM, and Saturday and Sunday from 8:30 AM to 4:00 PM.

Key Responsibilities:
  • Gather patient information to complete necessary insurance and privacy documentation.
  • Schedule and confirm patient appointments, including cancellations, follow-ups, and referrals.
  • Respond to phone inquiries regarding insurance and payment matters, directing calls to the appropriate personnel.
  • Review and update patient information, ensuring accuracy for billing purposes and entering demographics into the system. Confirm insurance status.
  • Process payments for copays, deductibles, and outstanding balances, maintaining an accurate cash drawer.
  • Manage appointment scheduling and cancellations, ensuring all procedures are accurately recorded in the system.
  • Perform clerical tasks essential for the daily operations of the practice.
Qualifications:
  • Demonstrated ability to deliver exceptional customer service with each interaction.
  • Capability to work independently as well as collaboratively within a team.
  • Friendly, empathetic, and responsible demeanor.
  • High school diploma or equivalent (GED) required.
  • Three months to one year of relevant experience or training; or a combination of education and experience.
  • Proficient in using office equipment, including computers, telephones, fax machines, and copiers.
  • Familiarity with patient scheduling software and electronic medical records is a plus.
