Franklin Street is actively seeking a Marketing Coordinator for Client Services to enhance our operations.

Essential Qualifications: The candidate should have 1-2 years of experience in marketing and proficiency in Adobe InDesign. Advanced design capabilities using Adobe Creative Suite, particularly InDesign, Photoshop, and Illustrator, are mandatory. A bachelor's degree is preferred. Professional proficiency in computer applications, including MS Office (Excel, Word, Outlook), is essential.

Role Overview:

The Marketing Coordinator for Client Services is responsible for alleviating the administrative, research, and analytical burdens from Real Estate agents, thereby allowing them to focus on production. This role involves managing a variety of situations and conflicts related to clerical and administrative tasks, utilizing experience and judgment to achieve objectives, and potentially leading the work of others with creativity and independence. Key responsibilities include:

Marketing Responsibilities:

  • Conducting market research for general insights, comparable properties, tenant write-ups, etc.
  • Creating demographic maps, aerial views, target area maps, and reports utilizing Regis for Brokers Opinion of Value (BOVs), Offering Packages, and other marketing materials.
  • Finalizing the development of Brokers Opinion of Value (BOVs), Offering Packages, and additional marketing collateral.
  • Executing marketing initiatives, including coordinating and designing direct mail campaigns and electronic blasts, ordering property signage, scheduling property photography/drone videos with vendors, producing executive summaries, brochures, placemats, marketing packages, and press releases.
  • Ensuring all listings are accurately displayed across necessary websites and advertising platforms.
  • Distributing offering memorandums (packages).

Contract Management Duties:

  • Typing and supporting the creation of general correspondence, memos, charts, tables, graphs, site plans, etc. Proofreading content for spelling, grammar, and layout, making necessary adjustments. Ensuring the accuracy and clarity of final documents.
  • Overseeing the creation of Listing Agreements, Letters of Intent/Offer Letters, Critical Dates Memos, etc.
  • Upon receiving Listing Agreements, Letters of Intent/Offer Letters, and Purchase & Sale Agreements, organizing them in client/deal folders and executing the appropriate checklists/processes.
  • Management of Listings: Monitoring critical dates; coordinating property tours; managing communication with prospective buyers, external brokers, clients, and agents; collecting and approving all Confidentiality Agreements; ensuring all financial reporting is current for each listing; tracking all Letters of Intent; keeping lead agents informed of all stages.
  • Management of Sales & Purchase Contracts: Monitoring critical dates; coordinating/scheduling all site inspections; collecting and organizing all due diligence documents; drafting sales contracts, amendments, or other necessary negotiations; reviewing closing documents for accuracy; keeping lead agents informed of all stages.
  • Entering all transactions and required documentation into the system. Completing necessary steps to create/send commission demand letters and process payments.
  • Monitoring commission demand letters and balances for the sales teams. Coordinating with legal on overdue commission demand letters.

Client Management Tasks:

  • May involve direct interaction with clients, including conducting property tours, resolving routine issues, and addressing pricing or non-routine inquiries.

Database Management Responsibilities:

  • Managing the creation and organization of client/deal folders.
  • Maintaining the company database by adding or verifying contact information and property databases to ensure orderly information and accessibility.
  • Maintaining pipeline reports and tracking spreadsheets.
  • Tracking website registrations and link tracking.

Additional Responsibilities:

  • Working independently to assist team members on special nonrecurring and ongoing projects.
  • Maintaining strict confidentiality regarding company marketing, business matters, and broker information.
  • Engaging in special projects and performing other duties as assigned.

Requirements:

  • Advanced knowledge of Adobe Creative Suite – InDesign, Photoshop, Illustrator, and Acrobat Pro is strongly preferred.
  • 2 years of administrative experience or a Bachelor of Science or Bachelor of Arts; a paralegal background is beneficial but not required.
  • Client-facing functions that involve property-specific information (including pricing and property condition) require a Real Estate license.
  • Professional proficiency in computer skills, including MS Office applications (Excel, Word, Outlook) and internet/application software, along with a willingness to learn new software programs.
  • High-level data entry skills are necessary.
  • Ability to read, analyze, and interpret general real estate contracts, professional journals/publications, and governmental regulations, and abstract leases.
  • Strong written and verbal communication skills (professional level English). Must be able to communicate clearly and concisely. Must represent the company professionally both in person and over the phone with a pleasant demeanor and customer service focus. Professional business attire is required.
  • Ability to work independently with minimal supervision.
  • Possessing problem-solving ingenuity, conflict resolution skills, and team player qualities.
  • Analytical skills are required to gather and summarize data for reports, find solutions to various administrative challenges, and prioritize tasks.
  • Attention to detail is crucial in composing, typing, and proofreading materials, establishing priorities, and meeting deadlines.
