Overview

Position Summary

The Client Services Coordinator is responsible for managing the workflow of tasks related to all new Annuity and/or Life business as assigned through case management processes and under the guidance of the Senior Client Services Manager. This role involves reviewing and processing submissions from application initiation to business issuance. This position reports to the New Business Supervisor.

Key Responsibilities
  • Evaluates and processes applications for precision and rectifies any inaccuracies in relevant systems.
  • Ensures applications comply with technical, legal, and underwriting/suitability preliminary standards.
  • Guarantees that all application processing and issuance adhere to company and state regulations for all product lines.
  • Delivers outstanding customer service with a commitment to exceeding expectations in every client interaction, through various communication channels.
  • Builds and maintains effective working relationships with agents associated with the assigned cases, ensuring timely and professional communication.
  • Processes various payment methods, including checks, credit cards, preauthorized payments, and wire transfers.
  • Adheres to all relevant compliance protocols for processing payments, including federal anti-money laundering regulations and IRS cash reporting requirements; manages returned checks/funds.
  • Handles amendments, transmittals, and policy delivery confirmations through appropriate systems.
  • Processes reissue requests for active policies within established timelines and dispatches new policies to agents, following applicable exception protocols to maintain proper controls.
  • Manages requests for duplicate policies and policy cancellations through relevant systems.
  • Assembles and sends policies to agents; orders shipping labels as necessary.
  • Accurately and promptly processes check requests, including any federal/state tax withholdings.
  • Conducts background checks for fraud prevention using relevant verification tools and requests necessary vendor functions.
  • Provides support to other team members in various new business areas as required.
  • Demonstrates a sense of urgency while maintaining attention to detail and the ability to manage multiple tasks simultaneously.
  • Performs additional duties as assigned.
Qualifications

Knowledge, Skills & Abilities
  • Exceptional customer service abilities.
  • Meticulous attention to detail.
  • Typing speed of 30-40 WPM.
  • Strong mathematical skills, including addition, subtraction, multiplication, and division.
  • 90% accuracy in data entry and typing is essential.
  • Excellent verbal and written communication skills.
  • Strong teamwork and collaboration capabilities.
  • Bilingual proficiency in Spanish and English is preferred.
Licenses & Certifications
  • No specific licenses required.
  • Completion of LOMA insurance courses I and II is required within the first year of employment.
  • Associate Customer Service (ACS) certification is preferred.
Education & Experience
  • High school diploma or equivalent.
  • 1-2 years of experience in related fields.
  • Strong knowledge of life insurance and annuities is preferred.
Supervision & Leadership
  • No supervisory responsibilities.
Work Environment
  • Standard office environment with regular working hours. Consistent attendance is required, and overtime may be necessary during peak periods. The role involves standing and walking, as well as frequent use of hands for handling tasks. Communication through speaking and listening is also essential.
