Administrative Support Specialist for Investigations

Position Overview:
The Nevada State Contractors Board is in search of a dedicated individual to fill the role of Administrative Support Specialist for Investigations. Under the guidance of the Investigations Supervisor, this position is responsible for executing essential clerical and administrative tasks, including drafting official correspondence, coordinating appointments, and managing both physical and digital filing systems.
Key Responsibilities:
This role involves preparing investigative documentation for the investigators and generating, maintaining, and disseminating monthly and quarterly reports related to building activities.
The Administrative Support Specialist will be tasked with composing and sending opening and closing letters to both complainants and contractors, as well as managing the initiation and resolution of complaints regarding workmanship, financial issues, and industry regulations.
Essential Duties May Include:
- Drafting, typing, and distributing meeting notes, standard correspondence, and reports.
- Welcoming visitors and answering calls, addressing inquiries, taking messages, or directing calls as necessary.
- Managing incoming mail by opening, reading, routing, and responding to routine correspondence.
- Facilitating the opening and closing of complaints against contractors.
- Compiling investigative files for the review of investigators.
- Locating and attaching relevant files to incoming correspondence that requires responses.
- Processing fingerprint submissions and maintaining related records.
- Assisting in background checks, reviewing complaints, and preparing analytical spreadsheets on various cases.
- Generating reports for submission to the District Attorney and/or the Board.
- Compiling and distributing departmental reports, including complaint aging and investigator performance.
- Supporting the preparation of disciplinary documents and scheduling hearings.
- Creating meeting agendas and gathering necessary documentation.
- Maintaining inventory of office supplies and equipment.
- Operating office machinery such as fax machines and copiers, and utilizing computers for various applications.
- Managing the supervisor's calendar and scheduling appointments independently.
- Arranging detailed travel plans and processing travel-related documents.
- Handling license verifications and requests for complaint histories.
- Filing and maintaining records in compliance with state laws and retention policies.
- Performing additional duties as assigned.
Knowledge, Skills, and Abilities:
The ideal candidate will possess a solid understanding of customer service principles, administrative procedures, and effective communication techniques. Proficiency in time management and organizational skills is essential.
Education and Experience:
An Associate's degree or equivalent from a two-year college or technical school, or one to two years of relevant experience or training, or a combination of education and experience is required.
Certificates and Licenses:
A valid Nevada Driver's License with an insurable driving record is mandatory.
Work Environment:
The work environment is typically moderate in noise level, with occasional exposure to outdoor conditions. Reasonable accommodations may be made for individuals with disabilities.
Physical Demands:
Regularly lifting or moving up to ten pounds and occasionally up to twenty-five pounds may be required. Specific vision abilities include close and distance vision, as well as depth perception.
