Role Purpose

The Coordinator for the CHIP Center plays a crucial role in executing administrative functions and delivering comprehensive support to the CHIP Center's professional team, students, parents, faculty, staff, and visitors. This position is responsible for managing health records in compliance with New York State public health regulations for both the Amherst and Branch campuses, as well as for clinical and study abroad experiences. The Coordinator oversees the health insurance verification process for students required to provide proof of insurance or enroll annually. Additionally, the Coordinator will lead wellness programs and events aimed at enhancing awareness of CHIP Center services and connecting campus community members with local wellness resources.

Key Responsibilities

  • Serve as the primary point of contact for inquiries directed to the CHIP Center via phone or in-person visits.
  • Manage incoming calls, accurately record messages, and handle fax communications.
  • Conduct administrative tasks to support the CHIP Center's professional staff.
  • Maintain office supply inventory and prepare purchase requests as needed.
  • Ensure the office websites are up-to-date, compliant, and user-friendly.
  • Respond to email inquiries directed to the office's designated accounts.
  • Process health records related to NYS health compliance, clinical compliance, and study abroad programs.
  • Oversee the health insurance verification process for students.
  • Assist students in making informed wellness decisions and connect them with appropriate support services.
  • Submit reports for student concerns and check in with students to provide support and resources.
  • Research and compile information on local health care providers to meet student needs.
  • Plan, implement, and evaluate wellness programs and events for the CHIP Center.
  • Develop and maintain partnerships with local wellness organizations for on-campus health initiatives.
  • Assist with the implementation of mandatory wellness education courses for incoming students.
  • Support the planning of training sessions for student leaders.
  • Supervise and train student workers within the CHIP Center.
  • Provide administrative support to the Assistant Dean for Student Life and Wellness.
  • Perform additional duties as assigned.

Qualifications

The ideal candidate for the Coordinator position must possess a minimum of a Bachelor's Degree (Master's Degree preferred) in Public Health, Higher Education, Education, Student Affairs, or related fields. Strong attention to detail, excellent organizational skills, and effective communication abilities are essential. A solid understanding of student health and wellness issues, along with best practices in the field, is required.
