We are seeking a dedicated Assistant Property Manager to become an integral part of our organization. The Assistant PM plays a crucial role in overseeing property management accounts, ensuring company revenue and profitability are maximized while continuously seeking ways to enhance efficiency and effectiveness in the services we provide.

Key Responsibilities:

  • Assist in the management of multiple properties with a focus on professionalism and operational excellence.
  • Travel as necessary using a personal vehicle, maintaining a valid driver's license at all times.
  • Ensure seamless move-in and move-out experiences; participate in all move-ins, manage key preparations, and complete necessary documentation.
  • Handle the processing of security deposit refunds post move-out, adhering to all legal timelines.
  • Maintain collection efforts for qualified tenants after move-out.
  • Collaborate with the maintenance team to identify and resolve common property issues, ensuring timely communication with residents.
  • Coordinate and participate in onsite vendor meetings as required, providing appropriate notifications to residents.
  • Promote properties to attract prospective residents through various marketing channels.
  • Manage leasing activities, including responding to inquiries, showing units, and preparing leases, ensuring a positive experience from initial contact to move-in.
  • Analyze market trends and leasing traffic to make informed pricing recommendations in conjunction with management.
  • Uphold Fair Housing standards while fostering an inclusive environment for diverse groups.
  • Engage in meetings actively, ensuring effective communication to meet client objectives; arrive prepared with necessary reports.
  • Build and maintain positive relationships with tenants and clients, addressing any conflicts as needed.
  • Post relevant notices in compliance with legal requirements, following supervisor guidance.
  • Maintain high levels of communication with tenants, vendors, and team members through phone and email.
  • Perform office administrative tasks, including mail management, organization, and vendor coordination.
  • Oversee phone communication systems, ensuring efficient message distribution.
  • Manage online platforms, responding to reviews and updating content as necessary.
  • Assist with utility account setups and management.
  • Handle bookkeeping tasks, including rent receipting and accounts payable activities.
  • Prepare and submit invoices accurately throughout the month.
  • Ensure the accuracy of general ledger entries and report discrepancies promptly.
  • Monitor accounts payable and maintain daily records of submissions.
  • Perform coin collection and deposit tasks.
  • Execute additional related duties or special projects as assigned.

Skills & Qualifications:

  • At least 2 years of experience in property management or a related field; strong candidates may be considered regardless of experience.
  • Some college education is preferred.
  • Proficient in computer applications, with strong typing skills and familiarity with software such as Outlook, Excel, and project management tools.
  • Quick learner with the ability to adapt and remain flexible in a dynamic environment.
  • Customer service experience is essential, along with strong verbal and written communication skills.
  • Ability to manage multiple tasks effectively with excellent time management skills.
  • Access to a vehicle for work-related travel, with mileage reimbursement provided.
  • Availability to work Monday through Friday, with some Saturday availability.
  • Positive attitude, team-oriented mindset, and a desire to grow within the organization.

Preferred Qualifications:

  • Associate's degree or certification in accounting or a related business field is preferred.
  • High school diploma with a minimum of 2 years of accounting experience.
  • Familiarity with property management software such as Appfolio and Quickbooks.
