Position Overview
The primary role of the Project Coordination and Estimation Support Specialist is to assist Estimators and Project Managers in all facets of commercial projects, from the quotation and submittal phase through to job completion and close-out.
Key Responsibilities:
  • Serve as a liaison among all stakeholders involved in a project to ensure customer satisfaction.
  • Prepare and modify quotations under the guidance of Estimators and Project Managers.
  • Compile submittal packages based on quotes and project specifications.
  • Revise submittal packages according to feedback from engineers, owners, or architects, as directed by the Project Manager.
  • Oversee and track customer orders, quotes, deliveries, and job progress, providing detailed updates to clients.
  • Maintain and update the Job Project Tracking system to monitor all aspects of a project from the quotation phase through to delivery and operation.
  • Assist Estimators and Project Managers with pricing, product details, substitutions, delivery schedules, back-orders, and warranty information as needed.
  • Input sales orders for projects based on approved submittals under the Project Manager's direction.
  • Monitor the status of material receipts and customer deliveries, ensuring job tracking software is current.
  • Compile operation and maintenance packages at project close-out.
  • Source pricing from vendors and representatives.
  • Interpret plumbing plans, drawings, and specifications.
  • Uphold a consistent and positive customer service image during interactions with clients.
  • Maintain a professional demeanor and appearance at all times.
Qualifications:
  • Strong interpersonal skills to effectively engage with customers and vendors in a service-oriented manner.
  • Excellent communication and organizational abilities.
  • A college degree is preferred.
  • Relevant education and/or experience in the industry is necessary to fulfill the role's requirements.
  • High proficiency in mathematics and the ability to maintain accuracy in arithmetic and statistics.
  • Capability to prioritize tasks and work independently with minimal supervision.
  • Flexibility to perform various tasks, often adapting to changing assignments on short notice.
  • Ability to quickly learn organizational procedures and operations.
  • Proficiency in basic computer applications (email, Excel, Word).
Physical Requirements:
  • Ability to sit for extended periods.
  • Dexterity to operate a computer keyboard, mouse, and other equipment.
  • Capability to safely lift and handle materials weighing up to 50 pounds.
  • Interaction with valuable assets and others under potentially stressful conditions requires a history free from illegal substance abuse, theft, or violence.
