Job Description:

**Job Summary:**

We are seeking a highly organized and detail-oriented Administrative Assistant II to join our team at the Texas Department of Aging & Disability Services. As a key member of our Food Service Operation, you will provide routine clerical support and assist with various administrative tasks.

Key Responsibilities:

  • Provide administrative support to the Food Service Operation, including maintaining files, compiling and tabulating data, and checking documents for accuracy.
  • Enter data accurately into established databases and Excel spreadsheets.
  • Answer phones and take accurate messages for food service and other staff, triage callers to appropriate staff, and greet visitors or callers in a professional and courteous manner.
  • Perform various administrative tasks, including typing, duplicating, and distributing documents, and ordering office supplies as needed.
  • Assist with data input into a variety of databases and Excel spreadsheets, and serve as a backup to other clerical support personnel within the Food Service Department.

Requirements:

  • Knowledge of word processing, spreadsheets, and business office procedures/equipment.
  • Knowledge of office procedures and general clerical work.
  • Ability to accurately enter data into existing electronic spreadsheets and databases.
  • Ability to organize self, seek prioritization from supervisor, and meet multiple deadlines.
  • Ability to prepare and maintain detailed records, files, and reports.

Working Conditions:

This position requires regular attendance and may involve working a specific shift schedule or rotating schedule, extended shifts, and/or overtime in accordance with agency leave policy.
