We are seeking a dedicated Internal Accounting Assistant to work exclusively in our Topeka office. This position requires full-time commitment, amounting to 40 hours per week. Following an initial training period of approximately 3 to 6 months, there may be an opportunity to discuss a hybrid-remote work arrangement.

The ideal candidate will possess experience in payroll review, including payroll analysis and the preparation of federal and state payroll tax filings. Responsibilities will also encompass accounts payable functions and daily management of 401(k) plans, alongside supporting the Internal Controller with various tasks such as data entry, document scanning, maintaining records, bookkeeping, and working with Excel spreadsheets.

Key Responsibilities:

  • Establish and maintain client records within the time and billing system.
  • Assist with routine billing processes and financial analysis as needed.
  • Enter and transmit ACH batch files accurately.
  • Prepare and post journal entries to the general ledger.
  • Conduct simple account reconciliations.
  • Maintain records and reports for fixed assets.
  • Support the preparation of monthly financial statements.
  • Assist in budget preparation activities.
  • Prepare federal and state tax deposits and annual tax forms, including W-2s, 1099s, and multi-state filings.
  • Perform bi-weekly internal payroll reviews and reporting.
  • Complete internal payroll entries in the general ledger.
  • Assist with monthly payroll and bank reconciliations, including related journal entries.
  • Support the daily administration of the firm's 401(k) Plan.
  • Assist in the ongoing administration of the firm's insurance and risk transactions.
  • File annual reports in designated states.
  • Maintain a high level of confidentiality in all tasks.

Qualifications:

Required:

  • In-office work during training is essential due to necessary interactions with the trainer; the duration will vary based on individual experience and capabilities.
  • A high school diploma or equivalent is typically required.
  • Strong organizational skills and meticulous attention to detail.
  • A minimum of 2 years of office experience is preferred.
  • Intermediate proficiency in the MS Office suite.
  • Excellent typing, proofreading, spelling, and grammar skills.

Preferred:

  • Strong technical knowledge and skills in accounting.
  • Proficiency in accounting and tax software.
  • Creative problem-solving abilities.
  • Prior experience in a CPA firm or professional office environment.
