Position Summary

Key Responsibilities
  • Proactively manage and oversee intricate, evolving calendars.
  • Screen incoming communications and assess their urgency, exercising discretion in sharing information.
  • Coordinate logistics for both internal and external meetings.
  • Arrange complex domestic and international travel, including visa procurement.
  • Organize all elements for offsite conferences and external events, ensuring seamless catering and transportation.
  • Process invoices and expense claims for team members, adhering to established policies and guidelines.
  • Serve as a subject matter expert on organizational policies and procedures.
  • Draft high-quality correspondence for individuals at all organizational levels.
  • Maintain up-to-date organizational charts and executive biographies.
  • Handle routine tasks independently, proactively communicating any potential issues or delays.
  • Assist in the preparation of spreadsheets and presentations, including printing and binding for client meetings.
  • Collaborate effectively with the administrative assistants team to foster a supportive work environment.
Qualifications and Skills

Required: Relevant administrative experience, ideally supporting at the Managing Director level or above. Exceptional organizational skills, discretion in confidential matters, and proven experience in engaging with senior management. Strong interpersonal, written, and verbal communication abilities. Proficiency in Microsoft Office and excellent telephone/email etiquette.

Preferred: Experience supporting at the Managing Director/CIO level or above, and a college degree is advantageous.

Note: This role requires five days in the office (Monday to Friday) and does not support hybrid options.
