Job Overview

ENT and Allergy Associates of Florida has been dedicated to meeting the healthcare needs of our patients for over six decades. We are currently looking for a Medical Office Supervisor to oversee our operations in a full-time capacity, working Monday through Friday from 8:30 AM to 5:30 PM.

This role is essential in ensuring that our practice, which offers comprehensive ENT medical and surgical services, operates smoothly and efficiently. The well-being of our patients is our primary focus, and our team is committed to providing high-quality care.

Key Responsibilities:

  • Assist in planning and analyzing office operations.
  • Oversee daily assignments for various office roles, including Front Desk and Medical Assistants.
  • Support the recruitment, interviewing, and hiring processes for clerical and clinical staff.
  • Coach and develop team members while fostering a collaborative environment.
  • Motivate staff to meet both personal and organizational objectives.
  • Evaluate operational workflows across departments to enhance efficiency.
  • Ensure compliance with organizational policies and procedures.
  • Maintain knowledge of daily tasks related to front and back office operations.
  • Guarantee adherence to OSHA, HIPAA, and other regulatory standards.
  • Ensure staff and providers complete required educational training.
  • Manage payroll and HR functions as directed.
  • Participate in management meetings on a regular basis.
  • Handle patient inquiries and provide counseling under provider supervision.
  • Verify surgical benefits and secure necessary authorizations.
  • Coordinate surgical scheduling at accredited facilities.
  • Communicate updates regarding surgical procedures to patients.
  • Oversee financial transactions related to surgical services.
  • Ensure timely communication of pre-operative and post-operative instructions to patients.
  • Obtain necessary consents for surgical procedures.
  • Provide timely updates to surgeons regarding patient status.

Qualifications:

  • At least one year of experience in healthcare management.
  • Strong understanding of medical office operations.
  • Ability to exercise sound judgment and decision-making skills.
  • Proficient in organizing and integrating objectives to meet deadlines.
  • Excellent verbal and written communication skills.
  • Strong interpersonal abilities and professionalism in interactions.
  • Experience with electronic medical records (EMR).
  • High level of computer literacy.
  • Fluency in Spanish is advantageous.
