Position Overview:

We are in search of a meticulous and highly organized professional to join our team as a Grants Manager. This role is essential for the effective management of our research administration activities. Reporting directly to the Senior Finance Manager, the Grants Manager will oversee all post-award processes for grants and contracts within designated divisions of the Research Administration team. This position serves as the primary resource for grant policies and procedures, including federal funding regulations, providing guidance to faculty, and ensuring compliance with existing and new post-award policies.

Key Responsibilities:

  • Oversee post-award management, handling portfolios that encompass both basic and clinical research projects funded by federal and non-federal sources, program projects, philanthropic contributions, and various sub-agreements.
  • Prepare and manage budgets for grant and contract proposals, renewals, and periodic reports, ensuring alignment with NIH policies and industry trends.
  • Facilitate the post-award management of grants, collaborating with investigators to develop tailored grant management plans and proactively addressing all aspects of grant oversight.
  • Organize and lead regular departmental leadership meetings, providing updates on financial and compliance issues.
  • Prepare Dean's snapshot goals and support portfolio meetings to monitor progress towards institutional research objectives.
  • Conduct audits and compliance reviews to ensure adherence to regulatory standards and institutional policies across research activities.
  • Coordinate the establishment and management of new awards and grants, including budget oversight and financial reporting.
  • Supervise the preparation of Research Performance Progress Reports (RPPRs) and continuation records for ongoing research projects.
  • Facilitate transaction approvals within PeopleSoft Financials (PSF) and ensure the accurate and timely processing of financial transactions.
  • Prepare and submit Prior Approval Requests, reviewing financial transactions for compliance with grant terms and conditions.
  • Manage clinical trials, ensuring compliance with protocols, regulations, and contractual obligations.
  • Provide additional administrative support as necessary to maintain efficient departmental operations.

Personnel Management:

  • Supervise and guide a financial analyst, ensuring efficient workflow and adherence to deadlines.
  • Develop educational and training materials.
  • Train and mentor new employees, providing the necessary support and guidance to ensure their success.
  • Offer constructive feedback and take corrective action as needed.
  • Facilitate the integration of new employees to promote collaboration.
  • Provide regular updates and evaluations of new employees to the program director.
  • Act as a resource for new employees, assisting with any challenges that may arise.

Additional Responsibilities:

  • Exhibit a comprehensive understanding of intramural and extramural government regulations, policies, and procedures to support faculty inquiries related to pre- and post-award practices.
  • Serve as the principal source of information on complex grant policies and procedures, advising faculty and staff on available options and alternatives.
  • Perform other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in business, finance, or a related field.
  • A minimum of 5 years of experience in pre- and post-award grants submission and management, or an equivalent combination of education and experience.
  • Extensive knowledge of grant-related topics, including budgets, contracts, and compliance issues for federal and non-federal grants, fellowships, and contracts.
  • Exceptional communication skills, both oral and written.
  • Basic database management skills and proficiency in computer applications.
