Job Title: Quickbooks/Adminstrative Assistant

We are seeking an experienced Administrative Assistant to join our team at Partners Personnel. The ideal candidate will have a strong background in Accounts Receivable, specifically with QuickBooks.

Job Summary:

The Administrative Assistant will be responsible for providing administrative support to our team, including managing calendars, maintaining files, and performing various administrative tasks. The successful candidate will also have experience with QuickBooks and be able to generate accurate invoices, maintain a list of projects, and perform other related duties.

Responsibilities:

  • Answer phones and greet walk-in customers
  • Manage calendars, preventative maintenance program, company fleet, and annual training
  • Point person for maintenance, mailing, shipping, and supplies
  • Maintain updated product, pricing, and inventory lists
  • Help develop and update processes for both office and operations
  • Assist with recruiting and onboarding new employees
  • Order supplies for office and operations
  • Help order parts for operations
  • Follow up with employees to ensure their timesheets are completed each day and paperwork turned in
  • Actively participate in the planning and execution of company events
  • Ongoing support to the President and ad hoc projects as needed
  • Light office cleaning
  • Performs other related duties as assigned

Accounting Responsibilities:

  • Generates accurate invoices
  • Maintains a list of projects
  • Maintains a file system
  • Enters Purchase Orders
  • Sends communications to an off-site accountant
  • Performs other related duties as assigned

Requirements:

  • At least two years related experience required
  • High school diploma or equivalent
  • Proficient with Microsoft Office Suite and QuickBooks
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills, planning skills, with the ability to analyze information and solve problems
  • Takes initiative and works independently and has excellent time management skills
  • Attention to detail, accuracy, and problem-solving skills
  • Approachable, friendly, and a team player
  • High level of professionalism with the ability to handle sensitive and confidential information

Work Environment:

  • On-site
  • Monday to Friday (no weekends)

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times

Pay: From $22.00 per hour
