Job Summary

The University of Southern Indiana is seeking a highly skilled and detail-oriented Senior Administrative Associate to join our Business Office team. As a key member of our team, you will be responsible for providing administrative support, coordinating processes, and maintaining financial records.

Key Responsibilities
  • Provide exceptional customer service to visitors, employees, and external stakeholders
  • Coordinate meetings, events, and projects, ensuring timely and efficient execution
  • Maintain accurate and up-to-date financial records, including digital and paper files
  • Prepare payroll recaps, collect time and attendance data, and submit approved time to Payroll
  • Coordinate the cancellation of lost checks, communicate with payees, and submit online stop payment requests
  • Manage University Business Office supply inventory, monitor levels, and solicit staff input for timely acquisition of materials
  • Manage computer and equipment inventory, maintain databases, and procure replacement equipment as needed
  • Coordinate the acquisition of supplies, services, and equipment for the University Business Office
  • Prepare Payment Notifications, enter related journal entries, and coordinate publication of annual financial and budget reports
  • Coordinate repairs and maintenance for University Business Office equipment and facilities
  • Review monthly telecommunication reports, identify exceptions, and work with IT and Business Office employees to resolve issues
  • Enter accounting and budgeting transactions into the accounting information system as requested
  • Coordinate travel arrangements for University Business Office employees, determine availability of funds, and prepare preapproval notifications
Requirements
  • High school education or equivalent with three years of related office experience
  • Attention to detail and accuracy, with ability to prioritize tasks effectively
  • Demonstrated proficiency with spreadsheet and word processing programs
  • Strong interpersonal, written, and verbal communication skills
  • Ability to apply knowledge and skills to new activities
  • Ability to read, interpret, and follow policies and procedures
  • Ability to maintain confidentiality and react appropriately with sensitive information
  • Ability to calculate equations of addition, subtraction, multiplication, and division, including interpreting percentages, fractions, and decimals
Preferred Qualifications
  • Associate degree or some college coursework
  • Previous accounting or bookkeeping experience
  • Experience with Ellucian Banner
  • Willingness and ability to serve as a notary public
