Job Description

\

We are seeking an experienced administrative assistant to join our team in Houston. The ideal candidate will have 5+ years of experience in administrative roles, with expertise in Accounts Payable and Accounts Receivable.

Required Skills and Qualifications

  • BS in business administration or similar
  • Proficient in MS Office Suite
  • Experience with QuickBooks, payroll (Gusto), employee benefits, and corporate taxes

Responsibilities

\
  1. Perform hiring and onboarding paperwork, and assist with payroll and reimbursements through Gusto.
  2. Manage Accounts Payable and Accounts Receivable.
  3. Maintain and organize company expense documents and receipts.
  4. Prepare and monitor purchasing requests, shipping, and invoicing.
  5. Manage travel arrangements for the team such as booking flights, cars, hotels, and restaurant reservations.
  6. Maintain records of employee timesheet, vacation and out of office days.
  7. Place orders for office and field supplies.
  8. Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
  9. Write and edit company communication documents from letters to reports and instructional documents.
  10. Take meeting minutes as needed.
  11. Work closely with the operations and engineering teams based in Houston to assist in filing paperwork, reports, and documentation across all aspects of the business.
  12. Assist with proposal submissions.
  13. Act as a point of contact for external clients and partners such as: taking calls, receiving emails and letters, scheduling meetings, and managing visitors to our Houston office.
  14. Help implement new programs, procedures, methods, and systems for document organization.
