Position Overview

The role of the Administration Officer is pivotal in ensuring the smooth operation of the school’s administrative functions. Working hours are set from 8:00 AM to 4:00 PM, Monday to Friday, during the academic term, including a 30-minute unpaid lunch break.

The selected individual will begin their responsibilities at the onset of the academic year, specifically three working days before the teaching staff resumes duties.

This position, classified at Range 3, entails management responsibilities and accountability for delivering professional support services. The impact of this role extends beyond the immediate work area, requiring collaboration with other staff members and the school community to meet specific objectives related to school administration and educational programs.

While direction on targets and goals will be provided, the role allows for some discretion in determining the methods to achieve these objectives, albeit within the confines of established procedures and school policies. Any significant deviations from these standards will necessitate guidance from senior management.

A key feature of this role is the management of business operations, including staff management to ensure expected outcomes are met. While most staff management issues can be resolved independently, complex cases will require senior management's input. Timely reporting and advice will be expected, focusing primarily on immediate work areas and service provision.

This position requires a mandatory qualification of no less than four years, and it may involve professional student support roles, such as therapists or psychologists, delivering standard professional services with close support and guidance from senior management.

Key Responsibilities

The Administration Officer serves as the initial point of contact for the school, embodying the institution's values of Belonging, Curiosity, and Achievement in daily interactions.

Responsibilities include:

  • Performing clerical and administrative tasks to support the school’s operations.
  • Assisting in document preparation and management.
  • Maintaining and managing data within the school’s computer systems.
  • Handling reception duties, including visitor screening and appointment scheduling.
  • Drafting basic correspondence in accordance with school protocols.
  • Compiling inventories, requisitions, and other straightforward documents.
  • Keeping and updating essential written records.
  • Gathering basic data from various sources such as reports and manuals.
  • Reviewing documents for simple errors in spelling and formatting.
  • Making routine entries in records related to stock and accounts.
  • Managing appointments and maintaining diary schedules.
  • Utilizing equipment in line with school procedures and manufacturer guidelines.
  • Processing enrolment documentation and recording relevant data.
  • Handling student payments as necessary.
  • Providing first aid assistance to students, staff, and visitors when required.
  • Undertaking additional tasks as directed by the Principal and Business Manager.
