Position Overview:
We are in search of a skilled and highly driven Senior Administrative Coordinator who will support our SVP & Head of Go-To-Market Operations.
The ideal candidate is a collaborative individual who thrives in a dynamic setting, occasionally under pressure, while remaining adaptable, resourceful, and effective.
You will demonstrate sound judgment in various situations, possess strong written and verbal communication abilities, impeccable organizational skills, and a keen attention to detail, along with the capacity to balance competing priorities.
Key Responsibilities:
- Oversee intricate calendars across multiple time zones, including both domestic and international schedules, and prepare agendas.
- Manage external relationships and swiftly identify key stakeholders; proactively understand their significance to the business and track necessary communications to nurture these connections.
- Exhibit a high degree of professionalism and the ability to manage sensitive issues while exercising sound judgment, discretion, and confidentiality.
- Lead special projects and collaborate with stakeholders on matters requiring finesse, flexibility, and patience.
- Anticipate the executive's needs and proactively assemble the relevant stakeholders and resources to facilitate decision-making.
- Complete critical components of deliverables and special assignments by setting objectives, prioritizing tasks, managing time, securing cooperation from others, monitoring progress, problem-solving, and adjusting plans as necessary.
- Attend meetings, communicate agendas, take notes, track action items, and ensure accountability among stakeholders.
- Ensure that the executive's priorities are communicated to the appropriate administrative staff supporting key cross-functional partners.
- Collaborate closely with executives, business partners, and fellow administrative coordinators on cross-functional events and scheduling.
- Assist in organizing the agenda and presentation materials for senior management meetings, off-sites, and all-hands gatherings.
- Plan and execute large-scale, multi-day offsites for the business unit, including hotel and meeting space procurement, contract negotiations, vendor management, room block management, team-building activities, travel logistics, catering, etc.
- Address challenging issues by identifying problems, building consensus, and working towards resolutions.
- Consistently hold yourself and others accountable for specific actions and ensure commitments are met.
- Perform additional responsibilities as assigned.
Qualifications:
5-7 years of experience supporting executives.
A self-starter capable of managing projects to completion with minimal guidance.
A team player willing to assist wherever and whenever needed.
Exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, time-sensitive environment.
A Bachelor's degree is preferred.
Advanced proficiency in Microsoft Office, including Word, PowerPoint, and Excel.
Excellent verbal and written communication skills.
Demonstrated success in personal accountability and results.
Routine experience engaging with executive-level staff is essential.
