Job Summary

US Pharma Lab is seeking a highly organized and detail-oriented Administrative Assistant, Quality Assurance Specialist to join our team. The successful candidate will be responsible for managing the preparation, distribution, collection, storage, and maintenance of our company's documentation, including SOPs and training records.

Key Responsibilities
  • Documentation Management: Receive, sort, and forward incoming mail; maintain and route publications; coordinate the pick-up and delivery of express mail services; and prepare product samples, documents, etc. for shipping to customers/suppliers.
  • Administrative Support: Assist in the ordering, receiving, stocking, and distribution of office supplies; perform other related clerical duties such as photocopying, faxing, filing, and collating.
  • Quality Assurance: Distribute SOPs and other changing regulatory documents to points of contact within the company for training and implementation; act as a point of contact for retrieval of specific documentation as required; and keep up to date with regulatory requirements around documentation and implement changes if necessary.
  • Collaboration: Work with internal teams to obtain an in-depth understanding of processes and documentation requirements; perform quality assurance on existing documentation; and revise outdated documents to ensure all staff are using the correct version.
Requirements
  • Education: Bachelor's Degree preferred
  • Experience: 2-4 years of administrative experience
  • Certifications/Licenses/Credentials: N/A
  • Skills/Abilities: Demonstrated above-average written communication skills in the English language; advanced skills with MS Office software; excellent typing skills; ability to interact with department heads regarding corporate compliance; ability to maintain a professional and positive attitude; ability to manage multiple tasks effectively and efficiently; and high level of ethics and integrity.
Work Environment

The employee will primarily be located in an office environment where temperatures are controlled for heat and air conditioning. Occasionally, the employee will walk through the warehouse or manufacturing workplace and will be required to wear appropriate PPE for each work area, including safety shoes, hair net, safety glasses, face mask, gloves, or disposable jumpsuit.
