Job Title: Human Resources Business and Administration Specialist

We are seeking a dedicated HR Admin with expertise in processing purchase orders (POs) in SAP, managing expense reports, and handling a variety of HR tasks. Proficiency in Excel is essential.

Key Responsibilities:
  • Budgeting & Forecasting:
    • Coordinate with the HR team to establish and manage budgets.
    • Ensure timely invoicing from vendor partners and track invoices and unbilled amounts monthly.
    • Prepare monthly spend reconciliations and build reports for accruals.
    • Monitor department spend for improved budget forecasting accuracy.
    • Analyze data to explain forecasting deviations from the budget.
    • Reconcile vendor account statements and resolve discrepancies.
    • Work with the Finance Department to update HR budgets and forecasts periodically.
    • Create requisitions and purchase orders, and set up new vendors in SAP and Ariba.
    • Monitor spend against budget and existing purchase orders.
  • Administrative Support:
    • Support special projects and analysis as requested.
    • Provide general administrative support to the HR leadership team, including calendar management, meeting scheduling, travel arrangements, expense reports, office supplies, and catering for meetings.
  • Tool Optimization:
    • Leverage SAP to increase process efficiency and assist the HR team in optimizing their time.
    • Partner with the HR Technology and Operations team to enhance processes and eliminate manual tasks.
    • Identify and implement process improvements for continuous improvement and scalability.
    • Assist in developing and coordinating the execution of a technology roadmap.
    • Implement tools for more effective HR administration processes.
  • Additional Responsibilities:
    • Assist with strategic management of intellectual property activities.
    • Identify opportunities for cross-functional team collaboration.
    • Coordinate team meetings, lunch and learns, and offsite meetings as needed.

Requirements:

  • Exceptional attention to detail and proficiency with SAP and Ariba.
  • High level of professionalism and ability to maintain confidentiality.
  • Strong team player with excellent organizational, analytical, and time management skills.
  • Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, OneNote, Teams) and Outlook.
  • Interest in learning and adapting new technologies and agile methodologies.
  • Excellent communication and interpersonal skills.

Preferred Qualifications:

  • Bachelor's Degree is preferred.
  • Must be onsite in the Bedford, MA office 3 days a week.
