Senior Administrative Coordinator

The Executive Assistant will provide high-level administrative support to the Associate Director, Administrative Director, and senior investment team Managing Directors/Analysts. This role requires a diverse skill set, comprising full administrative support, including scheduling, expense reports, travel arrangements, and confidential matters.
Key Responsibilities- Executive Support: Provide senior-level executive administrative support, including managing calendars, coordinating travel, and preparing correspondence.
- Scheduling and Coordination: Act as a gatekeeper for Analysts, planning, coordinating, and ensuring their schedules are followed and respected.
- Administrative Tasks: Complete a broad variety of administrative tasks, including managing calendars, expense reports, travel arrangements, and compiling documents for travel-related meetings.
- Liaison and Communication: Liaise with brokers to discuss and obtain models/research, compose and prepare correspondence, and arrange calls and company meetings on behalf of Analysts.
- Business Travel and Expense: Adhere to business travel and expense policies, including submitting documents for visa applications.
- Research and Follow-up: Research, prioritize, and follow up on incoming issues and concerns, determining the appropriate course of action, referral, or response.
- Presentations and Reports: Prepare Analyst PowerPoint presentations for annual investor meetings and compile documents for travel-related meetings.
- Coordination and Communication: Work closely and effectively with Analysts to keep them informed of upcoming commitments and responsibilities, following up appropriately.
- Broker Commissions: Handle weekly submission of broker commissions.
- Administrative Support: Liaise with other administrative staff to coordinate administrative, travel, and meeting requirements for Analysts traveling together.
- Stock Interest Lists: Maintain stock interest lists on various websites and databases for Analysts.
- Meeting and Conference Room Coordination: Handle meeting and conference room calendar coordination.
- Prioritization and Time Management: Prioritize conflicting needs, handle matters expeditiously, proactively, and follow through on projects to successful completion.
- Backup Support: Provide backup support to other Executive Assistants as needed.
- Experience: Minimum of 5+ years of senior administrative support experience.
- Industry Knowledge: Financial services industry experience a plus.
- Technical Skills: Excellent computer skills, proficient in PowerPoint, Excel, Word, and Outlook.
- Software Knowledge: Knowledge of CapIQ, Topia, Notion, Verity RMS a plus, and strong knowledge of and experience with Concur.
- Organizational Skills: Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Adaptability: Adaptable to various competing demands while maintaining a high level of client service and response.

- Education: Bachelor's degree a plus.
