Position Overview

We are seeking a skilled Receptionist to fulfill essential front desk responsibilities.

The Receptionist will oversee all incoming inquiries and manage lobby traffic in a fast-paced, customer-centric role that requires multitasking and adherence to instructions. The front desk is pivotal in the effective and timely handling of leads, including their capture, entry, distribution, and documentation. Responsibilities include answering incoming calls, directing them to the appropriate personnel or department, managing mail distribution, facilitating correspondence flow, and serving as the initial point of contact for visitors and vendors, along with various clerical tasks. Confidentiality of manager-level communications is paramount.
  • Handles a high volume of telephone inquiries using established scripts, addressing objections courteously and according to guidelines; logs and enters new inquiries, transferring them to the relevant individuals or departments, and taking messages as necessary.
  • This role is highly customer-focused, involving significant interaction via phone, email, and in-person visits.
  • Processes messages from the previous night, enters and assigns leads into the contact management system, and allocates them to the appropriate representatives.
  • Welcomes and assists visitors courteously, identifying their needs and directing them accordingly.
  • Accurately assigns prospects to representatives upon approval from the Director of Admissions or Campus Director.
  • For prospective students, collects and processes the approved Visitor/Student Profile Sheet, entering it into the contact management system and assigning it to the relevant representative.
  • Ensures that prospective students are promptly met by representatives.
  • Monitors the main entry area to prevent unauthorized access by visitors or delivery personnel.
  • Receives, sorts, and distributes all incoming mail from postal services and courier companies, as well as manages outgoing mail.
  • Handles the receipt and dispatch of packages (e.g., FedEx, UPS).
  • Types various forms, letters, reports, and memos as required.
  • May assist with additional clerical tasks such as photocopying, faxing, and filing.
  • Performs other assigned duties, particularly in support of other campus departments in coordination with the Campus Director.
Qualifications
  • Adaptability: Demonstrates the ability to adjust to changes in the work environment, manage competing demands, and handle unexpected events.
  • Dependability: Consistently punctual and reliable, follows instructions, responds to management direction, and seeks feedback for performance improvement.
  • Safety and Security: Actively promotes and observes safety and security protocols, utilizing equipment and materials properly.
  • Ability to thrive under pressure in a fast-paced environment with minimal supervision.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • High School Diploma or GED required.
  • At least one year of experience in customer service is preferred.
