Job Summary:
The Administrative Manager is responsible for the accurate representation of the financial condition of the dealership, develops controls necessary for the proper conduct of the business, maintains accurate records, and establishes and maintains the data processing capabilities to accomplish the dealership's objectives.
Key Responsibilities:
- Assist the controller with the preparation of complete financial statements and ensure timely submission each month.
- Interpret and analyze financial statements continually.
- Supervise office staff, including receptionists and cashiers.
- Keep the controller informed about business trends and cash needs.
- Review journal entries and approve adjustments to inventory, COGS, and expense accounts.
- Prepare and process workers' compensation and other insurance claims.
- Coordinate and prepare month-end reconciliations for all accounts and physical inventories.
- Maintain and post monthly standard entries.
- Set up fixed asset and prepaid asset accounts.
- Work with office staff to ensure timely completion of assigned tasks.
- Assist in preparation for annual internal and/or external audits. Provide auditors with requested information and follow up on any items that need correction.
- Complete end-of-month accounting reports.
- Calculate and reconcile depreciation expense monthly.
- Set up and maintain accruals for expenses, such as advertising, insurance, and professional expenses.
- Run and review expense trend reports monthly.
- Provide backup for cashiers and receptionists as needed.
- Maintain a safe working environment and report any accidents to a manager or supervisor.
Requirements:
- Accounting degree or equivalent experience.
- Ability to read and comprehend instructions and information.
- Two years of experience in a dealership office position.
- Working knowledge of dealership financial statements.
- Ability to explain technical financial information in an understandable manner.
- Excellent communication skills.
- Professional personal appearance.
- Authorization to work in the USA.
- Ability to perform duties and responsibilities in a safe manner.
- Ability to pass pre-employment testing, including background checks, MVR, drug test, credit report, and valid driver's license.
